We are looking for a reliable, highly organized Operations and Fulfilment Coordinator who can keep orders, deliveries, shipping, customer communication and inventory moving accurately and on time. About the Position This is a hands-on operational role. The Operations and Fulfilment Coordinator works across the store and warehouse, coordinates with staff and outside delivery services, communicates directly with customers and performs final quality checks before products leave Garcia Nevett. The right candidate takes ownership, notices problems early and follows every task through to completion.
Peak-season expectations:
Garcia Nevett's third sales quarter is the most demanding part of the year and represents 40% of annual sales. It is a make-or-break period for the business, requiring exceptional organization, accuracy, urgency, flexibility and reliability. Key Responsibilities Deliveries Coordinate Miami-area deliveries through approved third-party services or personally handle local deliveries when appropriate. Whenever possible, consolidate local deliveries on Thursdays and Fridays. During December, arrange all local deliveries through third-party delivery services. Confirm addresses, recipient details, delivery windows and special instructions, and monitor deliveries through completion. Shipping and Online Orders Review online orders and identify deadlines, special notes, gift messages, address concerns and fulfilment priorities. Manage the complete shipping process, including verifying orders, generating labels, packing boxes and taking shipments to the post office or designated carrier. Check products, quantities, addresses, packaging, labels and documents before every shipment is released. Monitor tracking and help resolve delays, address problems, lost packages and customer questions. Arrange truck or carrier pickups for outgoing shipping orders during November and December. Customer Service Monitor and respond to every customer email within 24 hours. Confirm products, quantities, customization, requested dates, payment status and delivery or pickup details. Coordinate payment requests and maintain accurate written records of order agreements. Communicate warmly and professionally, resolve routine concerns and escalate major issues promptly. Inventory, Quality and Label Control Coordinate with store and warehouse staff to keep inventory records current and consistent. Perform regular counts, investigate discrepancies and report shortages or damaged products early. Maintain organized storage areas and ensure products are correctly identified and rotated. Perform final quality and label checks before products are displayed, shipped, delivered or released for pickup. Hold and report any product that does not meet quality, presentation or labeling standards. Operations Coordination Help assign work, communicate daily priorities and verify that important tasks are completed. Keep management informed of late orders, inventory risks, delivery problems, customer concerns and quality issues. Maintain organized operational records and recommend improvements that reduce mistakes, delays and unnecessary costs. Support hands-on store and warehouse operations, especially during high-volume periods. Qualifications English required; Spanish preferred. The candidate must speak, read and write English effectively. Bilingual English-Spanish communication is an advantage. Reliable car required. The candidate must have dependable transportation and a valid driver's license for occasional Miami-area deliveries. Relevant experience preferred. Retail, hospitality, food service, customer service, shipping, fulfilment or operations experience is a strong advantage. Strong computer and administrative skills. Comfort with email, online-order systems, shipping-label tools and shared tracking documents is required. Excellent organization and attention to detail. The candidate must handle customer information, payments, products, labels, addresses and deadlines accurately. Dependability, flexibility and judgment. The candidate must remain calm during peak periods, solve routine problems and escalate material risks promptly.
