Operations / Warehouse Job Summary Southwest Oilfield Products is seeking an organized and detail-oriented Operations Warehouse - Inventory Administrator to support our Carlsbad facility. This position is primarily responsible for the administrative side of warehouse and inventory operations, including maintaining accurate inventory records, processing inventory transactions, assisting with shipping and receiving documentation, and supporting the day-to-day operational needs of the warehouse. The ideal candidate is comfortable working in both an office and warehouse environment and has strong computer, organizational, and communication skills. This role works closely with warehouse personnel, operations, purchasing, sales, and management to ensure inventory information is accurate and materials are properly documented and accounted for. Essential Duties and Responsibilities Maintain accurate inventory records and complete inventory transactions in the company's system. Enter receipts, transfers, adjustments, issues, returns, and other inventory-related transactions. Review inventory levels and assist with identifying shortages, discrepancies, and inventory needs. Assist with cycle counts and physical inventory counts and research discrepancies between physical inventory and system records. Prepare and maintain shipping, receiving, transfer, and inventory documentation. Verify incoming materials against purchase orders, packing slips, and other documentation. Assist with processing customer orders and preparing required paperwork for warehouse personnel. Coordinate with warehouse employees to ensure products are properly received, labeled, stored, picked, and documented. Maintain organized electronic and paper records related to inventory and warehouse operations. Assist with tracking incoming and outgoing materials and ensuring transactions are completed in a timely manner. Communicate inventory discrepancies, damaged materials, shortages, and other issues to manamgement. Assist with creating reports and spreadsheets related to inventory, orders, and warehouse activity. Work with other locations to research and resolve inventory or order discrepancies. Support branch and warehouse management with general administrative and operational duties as needed. Maintain a clean, organized, and accurate work environment. Follow all company safety procedures and policies while working in warehouse areas. Perform other duties as assigned based on operational needs. Qualifications High school diploma or GED required. Previous experience in inventory, warehouse administration, shipping/receiving, operations, or a similar role preferred. Experience working with an inventory management, ERP, or warehouse management system preferred. Strong computer skills, including Microsoft Excel, Outlook, and general data entry. Ability to accurately enter and maintain inventory information. Strong attention to detail and organizational skills. Ability to identify and research inventory discrepancies. Effective verbal and written communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Comfortable communicating and working with warehouse employees, management, sales, purchasing, and other departments. Oilfield, industrial distribution, manufacturing, or MRO experience is a plus. The employee will spend a significant portion of the role completing administrative and computer-based tasks but will also regularly enter warehouse areas to verify inventory, assist with counts, communicate with warehouse personnel, and support daily operations.
