Summary The Site Manager oversees all day‑to‑day operations of the Mail Center and Loading Dock within a fast‑paced production environment. This role leads a team of nine full‑time employees and is accountable for accurate mail processing, package distribution, shipping/receiving, and dock operations. The manager drives service excellence, operational efficiency, safety compliance, and strong client partnerships across the facility. Responsibilities Mail Center Operations Oversee all inbound and outbound mail, parcels, and courier activity for the production site. Ensure accurate sorting, scanning, tracking, and delivery of mail and packages. Maintain service‑level standards for timeliness, accuracy, and customer satisfaction. Implement and enforce SOPs for mail handling, security, and chain‑of‑custody requirements. Coordinate with internal departments, production teams, and external vendors to support daily operational needs. Loading Dock Oversight Manage all loading dock activity, including freight deliveries, equipment movement, and vendor access. Ensure safe and efficient dock operations in compliance with OSHA and site‑specific safety protocols. Oversee scheduling, staging, and documentation for all inbound and outbound shipments. Partner with facilities, security, and production teams to support large‑scale deliveries and time‑sensitive logistics. Team Leadership Supervise, coach, and develop a team of nine full‑time employees. Create staffing schedules, assign daily tasks, and monitor performance. Conduct training on safety, equipment use, customer service, and operational procedures. Foster a positive, professional, and high‑performance team culture. Operational Management Maintain inventory of mailroom and dock supplies, equipment, and materials. Monitor and report on KPIs, productivity, and service metrics. Identify and implement process improvements to enhance efficiency, accuracy, and customer experience. Ensure compliance with company policies, security protocols, and industry regulations. Manage vendor relationships with shipping carriers, courier services, and equipment providers. Customer & Stakeholder Engagement Serve as the primary point of contact for internal clients, production teams, and leadership. Resolve escalations, service issues, and operational challenges promptly. Support special projects, production events, and high‑volume periods with tailored logistics planning. Qualifications Bachelor's degree preferred or equivalent relevant experience. 2-3 years of progressively responsible experience managing service or operations teams. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams). Demonstrated ability to partner with leadership at all levels and build strong working relationships. Strong analytical, problem‑solving, and decision‑making skills. Proven leadership experience with a track record of hiring, developing, engaging, and retaining employees. Experience managing remote teams across multiple locations. Strong planning, prioritization, and execution skills with minimal supervision. Ability to balance tactical operational needs with strategic business objectives.
