JOB SUMMARY

Mama Lola's LLC is seeking a hands-on Warehouse & Logistics Manager to lead warehouse operations, receiving, shipping, freight coordination, dock control, product movement, staging, and warehouse team execution for a standalone warehouse operation supporting the manufacturing plant. This role owns the daily physical flow of raw materials, packaging, ingredients, finished goods, returned goods, and staged shipments through the warehouse. The right candidate will keep inbound materials received correctly, outbound shipments accurate and on time, warehouse areas organized and audit-ready, and freight activity aligned with Production, Quality Assurance, Accounting, Purchasing, Sales, Customer Service, and Operations. At Mama Lola's, inventory control is owned by Accounting. The Warehouse & Logistics Manager is responsible for the physical warehouse execution that supports inventory accuracy, including receiving discipline, product movement, staging, labeling, lot control, documentation, cycle count support, location accuracy, warehouse capacity awareness, and timely communication of discrepancies. This role is responsible for physical warehouse execution and logistics coordination, not financial ownership of inventory valuation, inventory accounting, or purchasing decisions. This is a fully on-site, floor-driven leadership role based in Phoenix, Arizona. We need someone who can lead people, control the dock, coordinate freight, enforce warehouse discipline, and keep product moving with urgency, organization, and control.

KEY RESPONSIBILITIES

Warehouse Responsibilities

• Lead daily warehouse operations, including receiving, storage, slotting, staging, shipping, loading, unloading, product movement, dock scheduling, warehouse labor coordination, and material support to the manufacturing plant.
• Supervise, train, schedule, coach, and hold warehouse employees accountable for safety, accuracy, cleanliness, productivity, GMP compliance, documentation, and overall performance.
• Ensure warehouse employees and PIT operators follow required safety practices, equipment inspections, traffic rules, housekeeping standards, battery charging procedures, and material-handling requirements.
• Maintain clean, organized, food-safe, audit-ready warehouse areas at all times.
• Monitor racking, pallet condition, load stability, aisle clearance, dock plates, trailer restraints, emergency exits, and storage practices for safety and compliance.
• Ensure warehouse activity supports production schedules, customer orders, inbound deliveries, outbound shipments, material availability, quality requirements, and accounting controls.
• Ensure timely material replenishment to production areas to prevent downtime, shortages, delays, or unnecessary line interruptions. Inbound Freight and Receiving
• Oversee all inbound freight, including ingredients, raw materials, packaging, supplies, equipment, and other received goods.
• Coordinate delivery schedules with vendors, carriers, Purchasing, Production, Quality Assurance, Accounting, and Operations.
• Ensure inbound materials are unloaded, counted, inspected, labeled, documented, staged, and stored according to company procedures.
• Verify receiving accuracy, including item numbers, quantities, lot codes, purchase order references, packing slips, condition of goods, trailer condition, seals where applicable, and required documentation.
• Communicate shortages, overages, damage, incorrect items, missing paperwork, labeling issues, trailer concerns, or receiving discrepancies immediately to the appropriate departments.
• Work closely with Quality Assurance on holds, rejected materials, damaged goods, missing documentation, food safety concerns, and nonconforming materials. Outbound Freight and Shipping
• Manage outbound shipping to ensure finished goods are picked, staged, loaded, documented, and shipped accurately and on time.
• Coordinate carrier pickups, customer shipments, dock appointments, routing requirements, freight communication, and shipping documentation.
• Ensure bills of lading, packing lists, pallet counts, lot codes, customer requirements, seal information, temperature requirements where applicable, and shipment details are accurate before product leaves the facility.
• Monitor loading practices to prevent product damage, misloads, delays, customer complaints, rejected deliveries, and freight claims.
• Ensure completed shipping paperwork is accurate, complete, organized, and submitted timely to the appropriate departments.
• Manage the physical handling of customer returns, refused shipments, damaged goods, and freight claims in coordination with Quality Assurance, Accounting, Sales, and Customer Service. Inventory Support and Physical Product Control
• Support Accounting's ownership of inventory control by ensuring physical warehouse activity is accurate, documented, and properly communicated.
• Maintain organized warehouse locations for raw materials, packaging, ingredients, finished goods, supplies, returned goods, held product, obsolete items, and staged shipments.
• Ensure procedures are followed for product movement, labeling, lot tracking, location changes, staging, receiving, shipping, returns, holds, and documentation.
• Support Accounting-led cycle counts, physical inventories, reconciliations, variance investigations, and warehouse capacity planning.
• Research and communicate warehouse-related discrepancies, including misplaced product, undocumented movement, incorrect staging, receiving errors, shipping errors, damaged goods, and location issues.

• Prevent unauthorized product movement and ensure all warehouse activity is supported by proper documentation. Food Safety, GMP and Compliance
• Ensure warehouse operations comply with company food safety policies, GMPs, SQF standards, customer requirements, and regulatory expectations.
• Support internal audits, customer audits, regulatory inspections, traceability exercises, mock recalls, corrective actions, and continuous improvement efforts.
• Ensure damaged product, returned goods, held product, rejected materials, obsolete items, and nonconforming goods are properly identified, segregated, controlled, documented, and communicated.
• Support food defense, pest control awareness, foreign material prevention, allergen control where applicable, and proper segregation of food-contact materials.
• Promote a safety-first culture across forklift operation, dock activity, racking, pallet storage, pedestrian traffic, trailer movement, material handling, and general warehouse activity. Freight, Carrier and Dock Control
• Coordinate inbound and outbound carrier activity to reduce delays, detention, missed appointments, dock congestion, and shipment issues.
• Communicate with carriers, brokers, vendors, customers, and internal departments to keep freight activity organized and on schedule.
• Identify and report recurring carrier issues, including late arrivals, missed pickups, damaged freight, documentation errors, detention issues, and service failures.
• Maintain dock control so shipping and receiving flow efficiently without disrupting production, warehouse organization, safety, or food safety requirements. Process Improvement
• Coordinate inbound and outbound carrier activity to reduce delays, detention, missed appointments, dock congestion, and shipment issues.
• Communicate with carriers, brokers, vendors, customers, and internal departments to keep freight activity organized and on schedule.
• Identify and report recurring carrier issues, including late arrivals, missed pickups, damaged freight, documentation errors, detention issues, and service failures.
• Maintain dock control so shipping and receiving flow efficiently without disrupting production, warehouse organization, safety, or food safety requirements.

REQUIRED QUALIFICATIONS 1.

Minimum 6 years of warehouse, logistics, shipping, receiving, distribution, or freight coordination experience in a manufacturing, food production, or high-volume warehouse environment. 2. Minimum 3 years of supervisory or management experience leading warehouse employees. 3. Strong knowledge of shipping, receiving, freight coordination, warehouse organization, staging, loading, unloading, dock control, product movement, and documentation. 4. Experience maintaining accurate transactions in ERP, WMS, inventory, shipping, receiving, or production-support systems. 5. Ability to read and understand bills of lading, packing slips, purchase orders, shipping documents, lot codes, pallet tags, inventory reports, receiving documents, and freight paperwork. 6. Strong leadership, communication, organization, problem-solving, and follow-through skills. 7. Ability to work in a fast-paced manufacturing environment where priorities shift quickly and execution matters. 8. Forklift/PIT experience required; certification preferred and must be obtained before operating company equipment.

PREFERRED QUALIFICATIONS 1.

Food manufacturing experience strongly preferred. 2. Experience with SQF, GMP, HACCP, FDA-regulated environments, customer audits, or food safety programs preferred. 3. Bilingual English/Spanish preferred. 4. Experience with food-grade warehouse operations, dry goods, refrigerated goods, ingredients, packaging, and finished goods preferred. 5. Experience improving shipping accuracy, receiving discipline, dock scheduling, warehouse organization, freight coordination, or documentation processes preferred.

PHYSICAL REQUIREMENTS

• Ability to work in a manufacturing and warehouse environment with exposure to temperature changes, noise, forklifts, pallets, trailers, production areas, and dock activity.
• Ability to stand, walk, bend, reach, lift, and move throughout the facility during the workday.
• Ability to lift up to 50 pounds as needed.
• Ability to perform the essential functions of the position, with or without reasonable accommodation.

SCHEDULE

• This position requires flexibility based on production needs, freight schedules, customer requirements, and operational priorities.
• Some early mornings, evenings, weekends, or extended hours may be required.

Pay:

$85,000.00 - $95,000.00 per year
