Position Overview:
We are seeking a detail-oriented and proactive full-time Logistics, Parts & Fleet Manager to join our team. This role manages the inventory, fleet, and facility readiness that keeps our technicians and installers equipped and moving. You'll be responsible for making sure the right parts, working vehicles, and a clean, organized shop are there when the team needs them, and for keeping the paperwork and vendor billing behind all of it straight.
Key Responsibilities:
Inventory & Parts Management:
Manage inventory levels of parts, equipment, tools, and supplies. Pull and prepare equipment and materials for jobs. Pull parts for technicians as requested. Receive deliveries and verify against Purchase Orders. Maintain accurate inventory records and pricing. Process parts returns, including warranty returns.
Special Order Parts & Procurement:
Manage special order parts from pricing through receipt and staging. Obtain supplier pricing and availability. Maintain vendor relationships to support efficient procurement. Keep procurement documentation accurate and organized.
Field Logistics & Paperwork:
Coordinate delivery and pickup of parts and equipment. Pick up and deliver paperwork from technicians on a weekly basis. Deliver materials directly to technicians and installers as needed. Pick up parts and supplies directly from suppliers as needed. Respond to urgent operational needs to prevent job delays.
Vendor Invoicing:
Process vendor invoices and reconcile them against Purchase Orders to confirm accuracy. Flag and resolve discrepancies with vendors as needed. Maintain accurate procurement and billing records.
Fleet Management:
Manage and complete vehicle maintenance, repairs, oil changes, and registrations for fleet and other vehicles as needed. Ensure fleet vehicles remain safe and operational.
Facility & Shop Management:
Maintain the shop and warehouse in clean, organized, working condition. This includes hands-on janitorial work and outdoor property upkeep such as lawn care and snow removal.
Vendor Coordination:
Maintain relationships with suppliers and vendors. Obtain pricing and coordinate procurement of parts and services. Communicate operational needs with office staff and management.
Qualifications:
Previous experience in inventory management, fleet coordination, or a similar role preferred. HVAC or parts management experience is a plus but not required. Comfortable with basic invoice/PO reconciliation and paperwork handling. Strong organizational skills and attention to detail. Ability to work independently and manage responsibilities without close supervision. Basic computer proficiency for inventory and billing tracking. Comfortable doing physical work indoors and outdoors.
Requirements:
Valid driver's license and insurable driving record. Ability to lift and move items up to 50 lbs independently, and assist with heavier items (100+ lbs) as part of a two-person team. Ability to pass a background check and drug screening.
Pay:
$20.00 - $26.00 per hour
