This is a key leadership position responsible for ensuring our vehicles are safe, reliable, compliant, cost-effective, and available for daily service. The Fleet Maintenance Manager will oversee our maintenance shop, directly manage two mechanics, coordinate preventive and corrective maintenance, manage outside vendors, monitor fleet performance, and develop policies and programs designed to reduce breakdowns and improve overall fleet reliability. Our fleet currently consists of cutaway buses and other passenger transportation vehicles and is expanding to include diesel motor coaches. Because of this growth, we are specifically seeking someone with experience in the bus, motor coach, transit, shuttle, charter, or commercial diesel vehicle industry. The ideal candidate will combine strong mechanical and technical knowledge with leadership, organization, vendor management, cost control, and fleet planning skills. This position requires someone who can build a proactive maintenance operation rather than simply respond to problems after they occur. Responsibilities Fleet Maintenance & Reliability Oversee all day-to-day fleet maintenance activities and ensure vehicles are maintained to company, manufacturer, and regulatory standards. Manage the maintenance shop and directly supervise, schedule, and assign work to two mechanics. Develop, implement, and continuously improve a comprehensive Preventive Maintenance (PM) Program for the entire fleet. Schedule vehicles for preventive maintenance, inspections, repairs, recalls, and other required services based on mileage, time, vehicle condition, and manufacturer recommendations. Coordinate maintenance schedules with Operations to minimize vehicle downtime and ensure sufficient equipment remains available for scheduled service. Monitor vehicle mileage, service intervals, inspections, open repairs, and upcoming maintenance requirements. Maintain accurate maintenance histories and repair documentation for every vehicle. Track vehicles that are out of service and actively manage repairs to return equipment to operation as quickly and safely as possible. Identify recurring mechanical problems and develop corrective actions to prevent repeat failures. Monitor overall fleet condition and recommend major repairs, replacement, or retirement of vehicles when appropriate. Bus & Diesel Maintenance Oversee maintenance and repairs involving cutaway buses, motor coaches, and other commercial passenger vehicles. Provide technical guidance and assist with troubleshooting complex mechanical issues when necessary. Maintain a strong working knowledge of commercial diesel engines and related systems, including: Diesel engines and drivetrains Air brake systems Electrical and charging systems HVAC systems Suspension and steering Diesel aftertreatment and emissions systems DPF, DEF and SCR systems Commercial vehicle diagnostics Coordinate specialized or major repairs with manufacturers, dealerships, and outside repair facilities. Maintenance Programs, Policies & Compliance Develop and implement fleet maintenance policies, procedures, inspection standards, and service requirements. Establish clear shop procedures and accountability standards for mechanics and maintenance personnel. Ensure preventive maintenance and required inspections are completed within established intervals. Maintain organized documentation necessary for company and regulatory audits. Ensure fleet maintenance practices comply with applicable DOT, CHP, DMV, safety, and commercial vehicle requirements. Stay informed regarding manufacturer recalls, service campaigns, regulatory changes, and other issues affecting fleet safety and reliability. Help develop emergency procedures for breakdowns, towing, roadside repairs, and replacement vehicles. Vendor & Cost Management Develop and maintain strong relationships with dealerships, manufacturers, repair facilities, towing companies, parts suppliers, tire vendors, and other fleet-related service providers. Negotiate pricing and service arrangements with vendors whenever possible. Review outside repair estimates before authorization and verify completed work and invoices for accuracy. Monitor parts, labor, towing, outside repair, and other maintenance expenses. Identify opportunities to reduce fleet maintenance costs without compromising safety, quality, or reliability. Compare repair options and determine when work should be completed internally versus outsourced. Maintain appropriate parts and supplies inventory while minimizing unnecessary inventory and spending. Hold vendors accountable for repair quality, turnaround times, warranty work, and repeat failures. Identify warranty opportunities and ensure eligible repairs are submitted appropriately. Fleet Technology, Data & Performance Utilize fleet management, GPS/telematics, maintenance tracking, and vehicle diagnostic systems to monitor fleet condition and performance. Use vehicle data and maintenance history to identify trends, recurring failures, excessive repair costs, and opportunities for improvement. Track key fleet performance indicators including vehicle downtime, preventive maintenance compliance, road calls, repeat repairs, maintenance costs, and fleet availability. Analyze maintenance data to recommend operational and financial improvements. Maintain accurate digital records and reporting using fleet management systems and Microsoft Office applications, including Excel, Outlook, and Word. Work with company leadership to develop maintenance budgets and identify opportunities for long-term cost savings. Breakdown & Emergency Management Coordinate responses to vehicle breakdowns, including troubleshooting, roadside assistance, towing, repairs, and replacement vehicle arrangements. Communicate proactively with Operations regarding vehicle status, estimated repair times, and equipment availability. Make timely decisions during breakdown situations to minimize service interruptions and unnecessary costs. Maintain relationships with roadside service providers and repair facilities capable of supporting the fleet after normal business hours. Communication & Leadership Maintain consistent communication with Operations, drivers, mechanics, vendors, and company leadership regarding fleet condition and vehicle availability. Provide timely updates regarding vehicles that are out of service, major repairs, upcoming maintenance, and potential operational concerns. Establish clear expectations and accountability within the maintenance department. Ensure mechanics properly document repairs, inspections, parts used, and completed work. Promote a strong culture of safety, preventive maintenance, accountability, and vehicle care. Work collaboratively across departments to ensure maintenance priorities align with daily transportation requirements. Qualifications Previous fleet maintenance management or supervisory experience is required. Experience in the bus, motor coach, transit, charter, shuttle, or passenger transportation industry is strongly preferred. Strong experience working with commercial diesel vehicles is required. Motor coach maintenance experience is strongly preferred. Experience managing or supervising mechanics or fleet technicians. Strong understanding of preventive maintenance programs and commercial vehicle inspection requirements. Technical knowledge of diesel engines, air brakes, electrical systems, HVAC, suspension, emissions/aftertreatment systems, and commercial vehicle diagnostics. Strong understanding of DOT and applicable commercial vehicle maintenance and safety requirements. Experience working with fleet management software, GPS/telematics systems, diagnostic tools, or maintenance tracking systems. Ability to analyze maintenance data, repair histories, and expenses to identify trends and opportunities for improvement. Strong vendor-management and negotiation skills. Strong organizational and time-management skills with the ability to prioritize multiple repairs, vehicles, and operational needs simultaneously. Excellent verbal and written communication skills. Proficiency with Microsoft Office, including Excel, Outlook, and Word. Ability to work independently, make sound decisions, and collaborate effectively with Operations and company leadership. ASE, manufacturer, or other commercial vehicle certifications are a plus. CDL Class B with Passenger and Air Brake endorsements is a plus.

Schedule & On-Call Availability Regular Schedule:

Monday through Friday This position supports a passenger transportation operation that operates beyond normal business hours. The Fleet Maintenance Manager will be expected to remain available on call after hours and on weekends when necessary to respond to vehicle breakdowns, major mechanical problems, towing situations, or other urgent fleet issues. Routine weekend work is not expected; however, the Fleet Maintenance Manager must be reachable and capable of coordinating an appropriate response when an emergency occurs. What Success Looks Like The goal of this position is to create and maintain a proactive, organized, and cost-conscious fleet maintenance operation.
