Technical Proficiency Full Job Description Job Summary:
Level 4 Transit is a 5-star Non-Emergency Medical Transportation (NEMT) company that is experiencing tremendous growth! So we are seeking an adaptable, hands-on Assistant Operations Manager to join our leadership team. In this multifaceted role, you will split your time between office-based scheduling and dispatch operations, local fleet oversight, new client marketing and outreach, and administrative compliance. You will also serve as a key backup driver when needed to ensure zero service disruption. You will report directly to the Operations Manager and play a pivotal role in operational efficiency, client growth, and driver support. Key Responsibilities Scheduling & Dispatch Operations Oversee daily dispatch operations, optimizing routes for efficiency, safety, and on-time performance. Manage driver master schedules, shift coverage, meal/rest break compliance, and time-off requests. Monitor real-time GPS tracking and transit software to handle live rerouting, traffic delays, and emergency adjustments. Support dedicated schedulers/dispatchers and serve as point of contact for field drivers during operational hours. Fleet Management & Field Work Conduct regular physical inspections of fleet vehicles to verify cleanliness, safety gear, and mechanical condition. Schedule and coordinate preventive maintenance, annual inspections, repairs, and vendor servicing to minimize downtime. Manage vehicle check-in/check-out logs, fuel card reconciliation, and registration compliance. Respond on-site to vehicle breakdowns, accidents, or complex field delays as needed. Administrative & Compliance Support Maintain driver qualification files, Department of Transportation (DOT) compliance records, and Hours of Service (HOS) logs. Assist with driver recruitment, background checks, initial onboarding, and field road-testing. Other administrative tasks as the role grows. Client Marketing & Business Outreach Identify and reach out to prospective regional clients (businesses, schools, event planners, healthcare facilities, or logistics partners). Assist in developing local marketing campaigns, promotional materials, and digital outreach efforts. Conduct sales presentations, prepare service quotes, and manage onboarding for new corporate accounts. Maintain and grow relationships with existing clients to encourage repeat business and account expansion. Backup Driving Safely step in as a backup driver during peak hours, unexpected call-outs, or emergency coverage.
Qualifications & Requirements Experience:
1-3 years of combined experience in transportation dispatch, fleet management, and administrative support. Prior exposure to marketing, sales, or customer relationship management (CRM) is a strong plus.
Licensing:
Must hold a Texas driver's license. Clean driving record, clean criminal record, and able to pass a drug screening.

Complete specific driving and other training/certifications as required.
Technical Skills:
Proficiency with dispatch and routing software, CRM tools (e.g., HubSpot, Salesforce, Zoho), and proficient with Microsoft Office applications.
Soft Skills:
Exceptional organizational ability, strong interpersonal and sales communication, and quick problem-solving skills under pressure.
Physical Requirements:
Ability to conduct physical vehicle inspections outdoors in varying weather and push a client of 350 lbs up a wheelchair ramp and secure them in the vehicle.
Time Flexibility:
Operations runs from 4AM - 7PM and may require some of your attention outside of standard hours including weekends. Management will workout schedule to accommodate points of escalation for the front line team.
Pay:
$45,000.00 - $55,000.00 per year
