Role Summary The Fleet Manager is responsible for overseeing Pacific Heating and Cooling's vehicle operations including all programs, maintenance, safety, compliance, vehicle readiness, vendor coordination, and fleet performance. This is a hands-on fleet management role that combines administrative oversight, vehicle inspections, minor repairs, trouble shooting, and long-term fleet planning. The fleet manager ensures vehicles are safe, reliable, cost effective, and compliant with applicable regulations while serving as an operational partner to leadership, administration, and field team members. Essential Duties & Functions Oversee maintenance and repair schedules for all company vehicles, including identifying when vehicles should be repaired, replaced, or removed from service. Conduct regular vehicle inspections Perform minor vehicle diagnostics and repairs with ability to identify whether repairs should be handled by outside vendors. Coordinate outside repairs, towing, roadside assistance, and temporary vehicle solutions. Ensure that vehicles and policies comply with local, state, and federal requirements. Maintain accurate fleet data including mileage, maintenance history, repair costs, fuel usage, vehicle assignments, vehicle statuses, and more as needed. Develop and implement guidelines for safe vehicle use, cleaning, inspections, and maintenance. Document accidents and vehicle damage with accurate internal reporting, and insurance requirements with management. Manage fleet-related expenses, including fuel, repairs, maintenance, insurance, and vendor services. Track fleet performance and downtime to identify opportunities to improve reliability, efficiency, and cost control. Coordinate disposal of outdated or damaged vehicles as directed by leadership. Maintain an up-to-date inventory of all vehicles and fleet related tools and equipment, ensuring proper allocation and readiness. Monitor fleet safety programs, ensuring that all drivers follow company policies, safety regulations, and traffic laws. Coordinate driver training related to fleet safety practices and company procedures Serve as a point of contact for drivers, management, and operations regarding fleet related issues or concerns. Maintain accurate records and audit ready files Partner with operations, finance, leadership, and other teams to align fleet activities with business needs. Coordinate, facilitate, and maintain a positive relationship with fleet related vendors Other relevant duties as assigned Skills and Abilities Experience managing a fleet of vehicles throughout the entire vehicle life cycle, including coordinating maintenance and repairs. Hands-on automotive experience, including identifying, diagnosing, and minor vehicle repair Ability to prioritize multiple fleet related issues and respond efficiently to situations that affect field operations. Strong mechanical aptitude and troubleshooting skills Strong verbal and written communication skills to work effectively with management, vendors, and internal team members. Strong follow-through and ability to manage tasks from identification to completion. Proficient using technology, such Microsoft Suite products, computers, mobile applications, and other company technology Ability to work independently, take initiative, and collaborate with multiple teams. Requirements and Qualifications Minimum of 2 years' experience in fleet management, automotive service/repair, logistics, or related field Experience in HVAC, plumbing, electrical, or construction preferred Must be authorized to work in the United States Valid driver's license with an insurable driving record Ability to frequently operate motor vehicles Ability to pass pre-employment screening Working Conditions Ability to lift, push, and pull up to 50 pounds Frequent grasping, reaching, fine finger manipulation, driving, and use of foot controls Frequent sitting, standing, walking, kneeling and bending Frequent work in office, warehouse, and outside conditions
