We believe that a safe, well-maintained fleet is one of the most important parts of a successful operation. We are looking for a dependable, organized, and motivated Fleet Assistant to help manage our growing fleet. This position is ideal for someone with experience in fleet operations, vehicle maintenance coordination, or the automotive industry who enjoys solving problems, staying organized, and working in a fast-paced environment. Schedule Full-time Five days per week Weekend availability required Rotating schedule, including Saturdays and Sundays Holidays as business needs require Responsibilities Coordinate the daily operation of our vehicle fleet. Monitor vehicle readiness to ensure vans are available for daily operations. Track preventive maintenance and scheduled services. Schedule repairs and maintenance with vendors, dealerships, mechanics, and body shops. Communicate with repair facilities regarding repair status, estimated completion dates, and costs. Build and maintain strong relationships with vendors and service providers. Work closely with Amazon Fleet Managers regarding fleet compliance, maintenance, and vehicle availability. Collaborate daily with Operations Managers, Dispatchers, and Leadership to ensure fleet readiness. Prepare and maintain daily, weekly, and monthly fleet reports. Maintain accurate fleet records using Microsoft Excel, Word, and Outlook. Track vehicle downtime and follow up to minimize out-of-service vehicles. Assist with vehicle registrations, documentation, compliance, and record keeping. Monitor vehicle damage reports and ensure repairs are completed promptly. Maintain organized digital and physical fleet files. Help maintain inventory related to fleet operations. Identify problems proactively and recommend solutions. Support all company safety initiatives and help maintain the highest fleet safety standards. Perform additional administrative and operational duties as assigned. Qualifications Previous experience in fleet management, fleet coordination, vehicle maintenance, automotive service, transportation, logistics, or a related field. Strong understanding of vehicle maintenance and preventive maintenance programs. Ability to communicate professionally with mechanics, dealerships, body shops, vendors, and service providers. Strong organizational and multitasking skills. Excellent attention to detail. Proficient with Microsoft Excel, Microsoft Word, and Microsoft Outlook. Strong written and verbal communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Self-motivated with excellent follow-up skills. Valid California Driver License with a clean driving record. Must be authorized to work in the United States. Preferred Qualifications Experience coordinating vehicle repairs and maintenance. Mechanical knowledge or automotive industry experience. Experience tracking repair timelines, maintenance schedules, and vehicle downtime. Experience working with fleet software, spreadsheets, and reporting tools. Ability to work independently while being a strong team player.
