Fleet Systems Administrator Position Overview We are seeking a highly organized and detail-oriented Fleet Systems Administrator to manage and support the software systems used throughout our transportation and fleet operations. This position works closely with Operations, Dispatch, Fleet Maintenance, Safety, Accounting, Human Resources, and Management to ensure information is accurate, systems are maintained properly, and important compliance and operational requirements are tracked. This is a hands-on administrative and analytical position for someone who is comfortable working with multiple software platforms, solving problems, reviewing data, and coordinating across departments. Key Responsibilities Administer transportation, fleet maintenance, safety, compliance, driver technology, and fuel management systems. Maintain accurate driver, equipment, customer, maintenance, and operational records. Monitor driver qualifications, permits, certifications, inspections, and expiration dates. Maintain preventive maintenance schedules and equipment records. Review Hours of Service and other driver/equipment compliance information. Manage system users, equipment assignments, fuel cards, and related accounts. Audit system information for accuracy and resolve discrepancies. Create and distribute operational, maintenance, compliance, and management reports. Assist employees with system questions, troubleshooting, and training. Support onboarding of new drivers and equipment into company systems. Assist with audits and required compliance documentation. Work with multiple departments to improve processes, reporting, and data accuracy. Assist with system upgrades, implementations, and special projects. Preferred Experience Experience in one or more of the following areas is preferred: Transportation or logistics Fleet management or maintenance DOT/compliance administration Safety administration Transportation management systems Fleet or business software administration Data auditing and reporting An associate's or bachelor's degree is preferred but not required. Relevant work experience may substitute for formal education. Ideal Candidate The ideal candidate is someone who enjoys working with systems and data, catches details others may miss, takes ownership of problems, and can help keep multiple departments organized and operating efficiently. Transportation, trucking, fleet, or logistics experience is strongly preferred.
