Warehouse Supervisor & Workforce Coordinator Location:
Hicksville, NY Job Type:
Full-Time Pay:
$55,000 to $60,000, based on experience About the Position We are an established event production and décor company seeking an experienced, highly organized Warehouse Supervisor & Workforce Coordinator to oversee our warehouse operations, production readiness, and workforce scheduling. This is a unique management position that combines hands-on warehouse leadership, employee supervision, scheduling, and computer-based operational management . This is not a desk-only position , and it is also not simply a warehouse labor position . The right candidate must be comfortable moving between the computer and the warehouse floor throughout the day. You may spend part of your morning reviewing upcoming events, schedules, CRM information, load lists, and staffing requirements, and later be on the warehouse floor directing employees, inspecting staged inventory, supervising loading, or physically helping the team. We are looking for someone who is organized, proactive, comfortable with technology, physically capable, and confident managing people. Key Responsibilities Warehouse & Production Operations Oversee day-to-day warehouse operations and take ownership of warehouse organization and productivity. Direct warehouse employees and assign daily responsibilities and priorities. Review upcoming events and production requirements in advance. Ensure inventory and equipment are properly pulled, prepared, staged, checked, and loaded. Review load lists and verify that required items and quantities are ready before loading. Supervise loading and unloading of company trucks. Perform final quality-control checks before inventory leaves the warehouse. Ensure returned inventory is unloaded, inspected, accounted for, and properly put away. Identify missing, damaged, broken, or incomplete inventory and communicate problems promptly. Maintain an organized, clean, safe, and efficient warehouse. Monitor employee productivity and make sure assigned work is completed correctly and on time. Help maintain truck and vehicle readiness for upcoming events. Coordinate closely with the Operations Manager regarding upcoming events, deadlines, staffing requirements, and production priorities. Work hands-on alongside the warehouse team when necessary. Workforce Scheduling & Employee Coordination Prepare weekly schedules for warehouse and event employees. Maintain current employee availability. Schedule employees based on event requirements, experience, skills, and workload. Confirm employees for upcoming warehouse shifts and events. Communicate schedules and changes clearly to employees. Handle call-outs and coordinate replacements when necessary. Maintain a dependable roster of available event and warehouse workers. Help distribute work appropriately rather than repeatedly relying on the same employees. Review employee hours and timesheets for accuracy. Assist with preparation and verification of hours for payroll. Communicate attendance, performance, staffing, and scheduling issues to management. Computer, CRM & Administrative Responsibilities Use company CRM and project-management systems to review upcoming jobs and event requirements. Work with workforce scheduling and employee-management software. Review and maintain digital load lists, work orders, project information, schedules, and employee records. Enter and update information accurately in company systems. Use email, spreadsheets, web-based applications, and mobile applications confidently. Learn new company software and systems quickly. Maintain organized digital records and follow established company processes. Communicate with management regarding deadlines, staffing, inventory, and production status. Required Qualifications Minimum 5 years of warehouse experience - REQUIRED Previous warehouse supervisory, warehouse management, or team-lead experience - REQUIRED Experience directly supervising and directing warehouse employees. Strong computer skills are required. Must be comfortable using computers, email, spreadsheets, employee scheduling software, and web-based business applications. Must be able to learn new software quickly and accurately enter and review information. Excellent organizational and time-management skills. Ability to manage multiple upcoming jobs, employees, schedules, and deadlines simultaneously. Strong attention to detail. Strong leadership and communication skills. Ability to assign work, follow up, inspect results, correct problems, and hold employees accountable. Strong problem-solving ability and the judgment to prioritize work without constant direction. Ability to work from digital work orders, pick lists, load lists, schedules, and project information. Valid driver's license. Reliable transportation. Ability to work independently and take ownership of responsibilities. Flexibility during peak event periods, including occasional evenings or weekends when required. Language Bilingual English/Spanish strongly preferred. This position communicates directly with warehouse and event employees. The ability to clearly explain assignments, schedules, corrections, and expectations in both English and Spanish is highly valued. Physical Requirements This is a hands-on warehouse management position . The employee must be able to perform the essential physical functions of the position, including: Working on their feet for extended periods. Regularly lifting and carrying event inventory and warehouse materials. Moving equipment and materials throughout the warehouse. Assisting with loading and unloading trucks. Pushing and pulling carts, equipment, furniture, and other event inventory. Bending, reaching, and performing normal warehouse activities. Working safely in an active warehouse environment. Reasonable accommodations will be considered where applicable. Preferred Qualifications College, technical, or other relevant post-secondary education. Bilingual English/Spanish. Experience in event production, party/event rentals, staging, furniture rental, convention services, catering logistics, or a similar industry. Inventory-control experience. Workforce scheduling experience. Experience managing a combination of full-time, part-time, temporary, or event-based employees. Experience with CRM/project-management systems. Strong Excel or Google Sheets skills. The Person We're Looking For We are looking for someone who takes ownership rather than waits to be told what to do . If the warehouse is becoming disorganized, you address it. If an upcoming event is not properly staged, you identify the problem before it becomes an emergency. If employees are falling behind, you redirect the team and get the work back on schedule. If someone calls out, you work on finding the appropriate replacement. If something is missing from a load list or project information, you follow up and get the answer. If equipment or inventory is damaged or missing, you report it and make sure the issue is addressed. You should be comfortable managing people, working with technology, solving problems, and physically participating in warehouse operations when needed. We need someone who can look at the bigger picture, prioritize what needs to happen, organize the people required to accomplish it, and make sure the work is completed correctly and on time . Schedule This is a full-time position. Our business is seasonal, and workload varies throughout the year. During our busy event season, flexibility with hours and occasional weekend availability will be required. Compensation $55,000 to $60,000, based on experience Compensation within the range will depend on warehouse-management experience, leadership ability, workforce-scheduling experience, computer/software proficiency, and overall ability to independently manage the responsibilities of the position.
