Overview The Shipping Coordinator supports the daily coordination and administration of shipping and receiving activities within a manufacturing environment. This position prepares and maintains shipping documentation, coordinates inbound and outbound shipments, communicates with carriers and internal departments, and ensures materials and finished products are accurately processed through applicable warehouse and ERP systems. The role performs both administrative and operational shipping functions and may coordinate shipments involving explosives or other regulated materials in accordance with company, safety, security, transportation, and regulatory requirements. Duties/Responsibilities Coordinate daily inbound and outbound shipping activities to support production and customer requirements. Prepare, review, and maintain packing lists, bills of lading, shipping labels, freight documentation, and other required records. Schedule and coordinate pickups and deliveries with carriers, freight providers, vendors, and internal departments. Verify shipment information, quantities, product identification, destination, and required documentation prior to shipment. Process shipping and receiving transactions accurately in SAP/S4, WMS, ERP, or other applicable systems. Maintain accurate electronic and physical records of materials and products received and shipped. Communicate shipment status, delays, discrepancies, and priorities to appropriate departments and leadership.efficiently. Inspect incoming and outgoing shipments for damage, accuracy, and documentation and assist in resolving discrepancies. Coordinate with Production, Inventory, Quality, and other departments to ensure materials and finished goods are available for shipment. Label, package, stage, and prepare materials for shipment according to established procedures and specifications. Assist with loading and unloading trucks and moving materials as operational needs require. Safely operate forklifts and other approved material-handling equipment when trained and authorized. Coordinate shipments containing explosives, hazardous materials, or other regulated products in accordance with company procedures and applicable requirements. Maintain organized shipping records and assist with audits, inventory research, and document retrieval. Monitor shipment priorities and communicate potential service or scheduling issues to the Shipping Lead or Manager. Assist Shipping & Receiving Specialists and Material Handlers with system, documentation, and shipping-process questions. Support continuous improvement related to shipping accuracy, documentation, workflow, organization, and efficiency. Maintain a clean and safe work area and follow all company safety, security, PPE, quality, and regulatory requirements. Perform additional duties as assigned. Supervisory Responsibilities This position does not have formal supervisory responsibility. The Shipping Coordinator may coordinate daily shipping priorities and workflow, provide process guidance, assist with employee training, communicate work priorities established by leadership, and escalate performance, safety, staffing, or significant operational concerns to the Shipping Lead or Manager. Education and/or Experience High school diploma or GED required. Two or more years of shipping, receiving, warehouse, logistics, distribution, or related manufacturing experience preferred. Experience coordinating shipments and preparing shipping documentation preferred. Experience using SAP, S/4HANA, WMS, ERP, or similar inventory/shipping systems preferred. Previous experience in a manufacturing or regulated material environment preferred. Forklift experience preferred; must obtain and maintain required company certification when applicable. Experience with hazardous materials, explosives, or regulated transportation requirements is beneficial; company training may be provided. Knowledge, Skills and Abilities Working knowledge of shipping, receiving, warehousing, and logistics processes. Strong organizational and administrative skills with attention to detail. Ability to accurately prepare and review shipping documentation and prioritize multiple shipments. Effective written and verbal communication skills. Working knowledge of Microsoft Office, including Outlook and Excel. Ability to learn and effectively use SAP/S4, WMS, ERP, and other business systems. Ability to identify discrepancies, research issues, coordinate resolution, and work independently while supporting a team. Ability to follow detailed safety, security, quality, and regulatory procedures and maintain accurate records. Physical Demands & Working Conditions The employee may be required to stand, walk, sit, bend, stoop, reach, push, pull, and perform repetitive movements throughout the workday. The position may require lifting and/or moving materials weighing up to 50 pounds, with assistance or material-handling equipment used when appropriate. Work is performed in both office and warehouse/manufacturing environments and may involve varying temperatures, noise, moving equipment, forklifts, industrial operations, and regulated or explosive materials. Required PPE must be worn in designated areas.
