JOB SUMMARY
The Materials Management Administrative Support position is responsible for overall administrative support of the Materials Management team to help ensure timely service, effective communication, and accurate processing of all related materials required for the team.
ESSENTIAL FUNCTIONS
Review and process vendor invoices in a timely and efficient manner Audit vendor order acknowledgements for pricing, quantity, and lead time discrepancies before entry into system Accurately process receiving documentation from vendor packing slips Ensure barcode labels are generated correctly for both stock and special-order materials Receive product into inventory promptly and approve matching invoices within established timeframes Review, follow up, and communicate with appropriate personnel on backorders Assis the team in accurate data entry, tracking and reporting to appropriate personnel Assist in the set up and follow through for truck deliveries and pick up Provide accurate, proactive communication to Customer Service, Sales, and Shop leadership regarding material status and sourcing
SECONDARY RESPONSIBILITIES
Cycle Counts/ Year-End counts Product training in customer service Serve as back up to other team members when short staffed Other duties as assigned
NECESSARY KNOWLEDGE, SKILLS & ABILITIES
Strong communication skills via email, phone, or face to face with internal and external customers Proven purchasing experience, preferably in building materials or manufacturing General knowledge of millwork products preferred Proficiency in Microsoft Office Strong analytical and organizational skills High attention to detail Ability to prioritize effectively in a deadline-driven environment Self-motivated with a strong sense of ownership
EDUCATION AND EXPERIENCE
HS Diploma Minimum 1 year experience in Purchasing and or Building Materials trade
Daily Work Expectations:
Complete time sensitive material before the end of each workday (sign-offs, purchase orders, acknowledgements, invoices).
