The Crewing Coordinator supports the end-to-end crewing function. The role provides practical support for crew planning and deployment, ensuring projects are staffed with competent, compliant personnel aligned with the crew model and operational requirements to support safe and efficient project execution. The Crewing Coordinator oversees crew readiness, certification compliance, rotation planning, and mobilization, driving continuous improvement across crewing processes and standards across operations. Responsibilities (Responsibilities are representative but not all-inclusive) Follows the Code of Conduct and Business Ethics Policy, the Foreign Corrupt Practices Act Policy and all Company policies and procedures. Maintains structured engagement with Project Managers and leads cross-functional crew planning meetings with Operations and Technical teams to understand project pipelines, risks, and manpower forecasts. Maintains clear communication with crew, Project Managers, Technical Managers, and senior leadership, ensuring alignment, timely updates, and proactive issue resolution. Maintains an updated crewing list for Human Resources to action applicable immigration, labor, and compliance requirements. Oversees the planning, mobilization, demobilization, and rotation of personnel, developing rotation plans, manning schedules, and personnel allocation strategies aligned with project priorities and client requirements, involving applicable stakeholders and remote teams. Coordinates with Operations and technical groups to provide crewing support, ensuring timely crew changes, approvals, certification, and readiness. Ensures all crew holds valid mandatory, safety, and technical certifications, medical certifications, and vaccination records, with strong governance, quality control, and compliance checks embedded into daily operations. Confirms all crew members hold the necessary, valid licenses and certificates; proactively notifies employees ahead of upcoming expirations and alerts the appropriate staff to resolve any pending expiration that could affect the crewing plan; and maintains robust processes to keep training records accurate, monitor compliance, and uphold all requirements across the workforce. Works with crew members to solve scheduling issues as required. Maintains the central crewing database with applicable records relevant to the specific projects. Monitors costs, and Project Managers with cost control initiatives, while overseeing travel, accommodation, and mob/demo logistics. Acts as the focal point for offshore crew queries related to rotation matters, ensuring timely resolution. Maintain a strong understanding of position requirements, project scopes, and competency profiles to respond to short-notice project demands. Promotes sustainable crew planning by minimizing unnecessary crew changes, supporting stable rotations, and maintaining crew continuity where operationally, commercially, and in line with regulatory requirements. Skills and Experience Required Education & Certifications Bachelor's Degree in Business Administration, or a related discipline; or equivalent extensive industry experience. Experience 5-8 years of experience in marine, offshore, or oil & gas crewing. Expert knowledge of rotational crewing structures, crew mobilization, rotation planning, personnel logistics, travel coordination, and workforce planning. Strong understanding of vessel operations, offshore project cycles, is an advantage. Understanding of HSE requirements of the industry. Excellent planning, stakeholder management, communication, and problem-solving skills, while driving alignment across stakeholders. Strong attention to detail. Ability to manage urgent requirements and stakeholder requests, responding effectively under pressure. Fluent English required; Spanish/Portuguese an asset.
