This role focuses on handling customer communication, maintaining accurate records, and supporting documentation and filing processes in compliance with FAA regulations. This is an excellent opportunity for someone looking to begin a career in aviation while developing strong administrative and customer service skills. This is a full-time position, paid hourly. This position is Monday- Friday, 8 am- 5 pm, at our Los Alamitos, CA location.
Key Responsibilities Customer Service Duties:
Serve as a point of contact for customer inquiries via phone, email, and in person (occasionally) Provide updates on repair status, turnaround times, and general service questions Assist in preparing and sending quotes, order confirmations, and invoices Follow up with customers regarding approvals, additional information, or required documentation Maintain professional and timely communication with customers at all times Escalate complex issues or customer concerns to supervisors as needed Create, update, and maintain customer files and repair order documentation Accurately enter data into internal systems (ERP or tracking systems) File and organize physical and electronic records in accordance with FAA Repair Station requirements Ensure all documentation is complete, legible, and properly stored for audit readiness Retrieve and provide documents for audits, inspections, or internal reviews Assist in maintaining document control logs and record retention systems Assist with processing repair orders from intake through completion Coordinate with production, quality, and shipping departments to support workflow Track and update job status in internal systems Review paperwork for accuracy and completeness prior to job release and collect payment if needed Support scheduling, shipping paperwork, and general office tasks Qualifications High school diploma or equivalent required 0-2 years of customer service, administrative, or office experience preferred Basic computer skills (
Microsoft Office:
Word, Excel, Outlook) Strong attention to detail, especially with paperwork and data entry Good communication and organizational skills Customer-focused mindset and professionalism Strong organizational and filing skills (both paper and electronic) Ability to learn and follow compliance-driven procedures Team-oriented with a willingness to support multiple departments Work Environment Office setting Frequent use of computers, phones, and filing systems Occasional interaction with warehouses or production areas Standard business hours with potential for overtime based on workload
