Position Summary The Residential Maintenance Coordinator owns the proactive scheduling, customer follow-up, and renewal activity for Total Comfort's residential maintenance client base. This is a high-volume, detail-oriented position requiring consistent outbound customer contact, accurate ServiceTitan records, and disciplined follow-through. This position is dedicated to maintenance operations. What You'll Own
  • Manage the scheduling pipeline for approximately 5,000 residential maintenance clients
  • Proactively contact customers to schedule preventive maintenance within the appropriate service window
  • Track services that are due, overdue, canceled, rescheduled, missed, or still pending
  • Schedule, dispatch and update appointments in ServiceTitan based on customer needs, technician capacity, and route efficiency
  • Follow up on maintenance agreement renewals, payment issues, declined cards, and customers at risk of cancellation
  • Maintain accurate customer, equipment, agreement, appointment, and communication records
  • Fill open schedule capacity and alert operations leaders to backlog or capacity concerns
  • Coordinate maintenance-specific customer issues with technicians and field leadership
  • Provide clear, professional customer communication and follow open items through completion
  • Route general service calls, sales leads, and unrelated requests through the centralized call-center process What Success Looks Like
  • Maintenance visits are scheduled within established service windows
  • Overdue and unscheduled clients receive consistent, documented follow-up
  • Canceled and missed appointments are promptly rescheduled or appropriately closed
  • Renewal opportunities are addressed before agreements lapse whenever possible
  • ServiceTitan records and customer communication notes are complete and accurate
  • Technician schedules are supported through active backlog and capacity management
  • Customer concerns and operational barriers are identified and escalated promptly Required Qualifications
  • High school diploma or equivalent
  • Two or more years of scheduling, customer service, service coordination, account management, or related high-volume administrative experience preferred
  • Strong attention to detail, organization, and follow-through
  • Professional phone and written communication skills
  • Ability to manage frequent schedule changes and competing priorities without losing accuracy
  • Comfort making a high volume of outbound customer contacts
  • Proficiency with email, Microsoft Office, and customer management systems
  • Must pass a background check and drug screening Preferred Qualifications
  • ServiceTitan experience
  • HVAC, home services, maintenance agreement, or field service experience
  • Experience managing renewals, retention, recurring service, or a large customer portfolio
