Job Description

Brain Balance of Naperville is looking for a Client Experience & Marketing Coordinator to help create an exceptional experience for our families while supporting the day-to-day operations, marketing, and community presence of our new Naperville center. Brain Balance works with children, teens, and adults who may be struggling with attention, learning, behavior, emotional regulation, and other developmental challenges. Our program uses a multimodal approach incorporating sensory, motor, cognitive, and nutritional components designed to support brain development and function. Brain Balance is a neurodevelopmental program for kids with ADHD, Sensory Processing Disorder, Dyslexia, Autism, Anxiety, Social behavior, and other needs. This is a hands-on role for someone who loves people, is highly organized, enjoys social media and community engagement, and gets satisfaction from making sure nothing falls through the cracks. You will often be one of the first people a family interacts with and an important part of their experience throughout their time with Brain Balance. This is not simply a receptionist position. You will help manage the systems and follow-up that keep the center running smoothly, while capturing content and managing our social media accounts. What You'll Do Welcome families and create a warm, professional center experience Respond to phone, email, online, and in-center inquiries Schedule assessments, appointments, and student sessions Maintain accurate family, prospect, and referral information in our CRM Help ensure prospective families and enrolled families always have a clear next step and timely follow-up Support family onboarding, paperwork, scheduling, billing, payments, and account follow-up Build strong relationships with students and families Help coordinate family events, community events, workshops, and center activities Research and support outreach to schools, therapists, healthcare providers, parent groups, youth organizations, and other community partners Help maintain and grow our community and referral-partner database with leadership Create and manage engaging social media content across approved platforms Capture appropriate photo and video content for social media and marketing, subject to company policies and required permissions Promote center events, community partnerships, educational resources, and family success stories Support the Founding Center Director with enrollment follow-up, reporting, and center operations Help maintain a welcoming, organized, and professional center environment Who We're Looking For High school diploma or GED required; college credits or experience preferred, we also welcome candidates with strong relevant professional experience 2+ years of experience in customer service, office administration, marketing, community engagement, hospitality, healthcare, education, or another client-facing environment preferred Experience with social media and creating digital content Excellent communication and relationship-building skills Highly organized with strong attention to detail and follow-through Comfortable learning CRM systems and other technology Warm, empathetic, professional, and comfortable interacting with children and families Self-starter who notices what needs to be done and takes initiative Able to manage multiple priorities in a fast-moving environment Able to work on-site in Naperville, including regular afternoon/evening hours Able to successfully complete required background screening and child-safety requirements Why Join Brain Balance of Naperville? $20.00 - $26.00 per hour Expected hours: 30.0 - 40.0 per week
