About the Position The Client Service Manager is the lead administrative and client-service professional for the practice. This person keeps the office organized, ensures client requests and advisor commitments move through completion, and provides a welcoming, responsive experience for clients. The position is a strong fit for an experienced administrator or financial-services professional who is ready to take ownership of day-to-day practice operations and grow into broader operational leadership. Key Responsibilities Client Service and Account Administration Serve as a primary administrative point of contact for clients and respond promptly and professionally to routine service requests. Prepare, process, and monitor new accounts, transfers, distributions, beneficiary updates, and account-maintenance requests in accordance with firm procedures. Track paperwork and service items through completion, following up with clients, custodians, product partners, and team members as needed. Maintain complete client and prospect records, including contact information, meeting notes, service updates, and required documentation. Practice and Workflow Operations Manage the daily administrative workflow, service calendar, recurring processes, and open client tasks. Use the CRM as the central record for notes, assignments, deadlines, and follow-up accountability. Develop and maintain checklists, procedures, and repeatable workflows that improve accuracy and efficiency. Coordinate office vendors, supplies, records, technology support, and general administrative needs. Advisor and Meeting Support Coordinate advisor calendars and schedule client reviews, transfers, prospect meetings, and follow-up appointments. Prepare agendas, forms, reports, and supporting information for meetings. Document meeting notes, convert decisions into assigned tasks, and monitor commitments through completion. Marketing and Client Events Maintain the practice marketing and client-communication calendar. Coordinate seminars, appreciation events, educational programs, and community activities, including venues, vendors, invitations, registrations, materials, and follow-up. Assist with approved newsletters, social media, website updates, and other marketing materials. What We Are Looking For Two or more years of administrative, client-service, banking, insurance, or financial-services experience; three to five years is preferred. Exceptional organization, accuracy, time management, and follow-through. Professional written and verbal communication with clients, coworkers, and outside partners. Sound judgment, initiative, and the ability to solve routine operational issues independently. Ability to manage several priorities while protecting confidential financial and personal information. Familiar with using CRM systems, Microsoft Outlook, Word, Excel, and digital workflows. Licensing Must be willing to become a Registered Administrator. Schedule This is a full-time, Monday through Friday position based primarily in our St. Johns office.
