Purpose:
Assist the service manager in maintaining accurate and on-time reports and records relative to the service department's operation within the dealership. Administers the warranty claim process to maximize administrative efficiency and return on warranty claims.
Responsibilities:
o Fields internal and external customer inquiries to the Service Department o Responds to phones messages in a timely fashion o Opens work orders as directed by the Service Manager/Shop Foreman and maintains control until they are closed and invoiced expeditiously. o Maintains the service library with current information (for example, files bulletins, manuals, multi-media, etc.) under the direct supervision of the Service Manager o Maintains Service Department filing and records o Updates customer profiles using equipment, hours, or other information from the customer work orders o Maintains accessories and supplies and prepares replacement orders o May prepare Service Technician efficiency reports o Monitors equipment records for expiration of extended and special warranties o Manages and processes parts and service warranty claims including computation of charges of shop work for each location o Works with service managers to ensure there are no expired Product Improvement Programs o Understands warranty regulations and communicates to departmental management about warranty status on a regular basis o May process warranty and/or product improvement claims including the computation of charges, submission and follow-up
Experience, Education, Skills and Knowledge:
o 2+ years in Service Department operations o Ability to use standard desktop load applications such as Microsoft Office and internet functions o Ability to learn software in the dealer business system and Deere Warranty system o Knowledge of office procedures and attention to detail o General understanding of mechanical/technical terms is preferred o Ability to write and speak effectively to customers in person and on the phone o High School Diploma or equivalent experience
