Job Description

Company Overview We are a manufacturer of EPS construction materials shipping finished products to supply houses, local businesses, and job sites. Shipments originate from our manufacturing facility at 4004 West Cheyenne Ave, North Las Vegas, NV 89032. Position Summary We are seeking an organized, detail-oriented, and proactive Sales Administrator to support our growing sales team and deliver excellent service to our customers. In this role, you will act as a primary point of contact for customer inquiries and orders, while bridging communication between sales, operations and accounting. The ideal candidate excels at multi-tasking, thrives in a fast-paced environment, and is comfortable managing customer order data within digital platforms like Monday.com and/or Odoo.com. There is a cross-functional collaboration component to the position. The sales administrator works closely with the accounting department to ensure that customer accounts, pricing, credit approvals, billing information, invoices and payment status are accurate and current. The position is responsible for timely communication of order information and customer documentation but is not responsible for any account functions such as accounts receivable, cash application, or financial reporting.
Key Responsibilities Order Processing & Data Entry:
Receive, verify, and process customer orders arriving via email, phone, and in-person. Accurately enter and maintain all order data, customer details, and status updates in Monday.com and/or Odoo.com. Review orders for accuracy in pricing, product specifications, and delivery details prior to entry.
Customer Service & Communication:
Answer incoming calls and serve as a responsive, helpful contact for customer inquiries. Provide customers with order confirmations, lead times, and shipping updates. Address and resolve order-related inquiries or route complex issues to the Sales Manager promptly. Accept and record customer reviews/complaints according to the company quality management system.
Production & Workflow Coordination :
Track orders through the production pipeline to ensure accurate scheduling and on-time fulfillment. Liaise regularly with production personnel to gather real-time status updates on active orders. Proactively communicate production delays, schedule changes, or inventory bottlenecks to the Sales Manager.
Sales Team Support:
Prepare routine sales reports, order summaries, and status updates for the Sales Manager. Maintain, clean, and organize digital files and customer records within Monday.com and/or Odoo.com. Assist the Sales Manager with administrative tasks and special projects as needed. Qualifications & Skills 1-3 years of experience in sales administration/ inside sales support/ customer service/ or order entry is preferred. Hands-on experience or familiarity with Monday.com or Odoo.com (or similar order/project management platforms) is highly preferred. Proficiency in standard office tools (Microsoft Office Suite/ Google Workspace) is required. Solid verbal and written communication skills in English with a professional customer-service mindset. Solid phone and email communication skills. Highly detailed-oriented with exceptional follow-through habits, consistenly ensuring tasks are completed accurately, thoroughly and on time. Exceptional level of accuracy in data entry and strong organizational and time-management skills. Strong problem-solving skills with a proven ability to track and manage moving parts, coordinate effectively between departments, and keep team members updated in real time. Physical Requirements Prolonged periods of sitting at a desk and working on a computer Frequently required to stand, walk, stoop, kneel, crouch, or crawl Must be able to frequently or constantly lift, carry, push, pull or otherwise move objects up to 15 pounds Work Environment This position operates in a professional office environment in a warehouse setting . This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets. This position collaborates with department manager(s), clients and vendors daily. Work Schedule Full-time and on-site. Ideal candidate would have availability between 7:00 AM - 4:00 PM, Monday - Friday. Daily schedule may be subject to change based on the needs of the business and department, and at the direction of the manager. Pay:
$16.00 - $19.00 per hour

Does this compensation range align with your pay expectations? The schedule for this position is Monday through Friday, from 7:00 AM to 3:30 PM, with occasional overtime as business needs require. Would this schedule work for you? Are you able to work full-time on-site in our location in North Las Vegas, NV? Which Microsoft programs or Google Workspace tools have you used, and what tasks or responsibilities have you used them for? Have you used Monday.com and/or Odoo.com OR any other similar order/project management system? If yes, what specifically did you manage inside the platform AND how did you ensure the information you entered remained accurate and up to date? You have three (3) customer orders waiting to be entered, a customer calling for an immediate shipping update, the Sales Manager asking for a report, and Production needing your clarification on an order. Explain how you would prioritize these requests and why. You receive an order that contains incorrect, missing, or conflicting information. What steps would you take to resolve it? A customer was told their order would ship Friday, but Production tells you it will not be ready until the following Tuesday. The customer has not yet been informed. Walk me through how you would handle this situation.
