The Intake Senior Team Lead is responsible for overseeing the daily operations of the Intake team, ensuring the timely, accurate, and compliant processing of resident admissions, facility census updates, and resident information for long-care facilities. This role provides leadership, coaching and operational oversight to the Intake Department while serving as the primary escalation point for complex intake issues involving facilities and internal pharmacy departments. The Intake Senior Team Lead works collaboratively with account managers, billing teams, pharmacy teams, facility admission coordinators, and Director to ensure seamless resident onboarding. This role is instrumental in maintaining, compliance, improving efficiency, and delivering exceptional customer service to facility partners and residents.

Key Responsibilities:
Onboarding and Offboarding Administration:
Coordinate all administrative aspects of employee onboarding and offboarding. Request and manage badges, accesses and EHR logins. Prepare workstations and ensure new hire workspaces are clean and organized with appropriate office supplies. Assist new hires with first-day ADP access, compliance training and orientation activities. Coordinate and support new employee job training. Participate in candidate interviews and serve as a secondary leadership representative during employee coaching, performance, or disciplinary discussions. Administrative and Operational Support Track and report daily Intake department statistics and key performance metrics. Monitor individual team productivity using tracking reports as well as other measures. Develop and maintain weekly staff schedules to ensure appropriate coverage across all shifts. Maintain current Electronic Health Record (EHR) login documentation and request as applicable for each market. Assign and coordinate weekly admission queue responsibilities by market. Ensure timely and accurate completion of DocuTrak triage. Assign and monitor weekend special projects as required. Review Accounts Receivable reports for all markets to ensure accurate entry and that all billing timelines are met. Respond to inquiries from internal Remedi SeniorCare departments within established service-level expectations. Ensure resident discharges are processed accurately and within departmental guidelines. Continuously monitor workload, identify operation bottlenecks, and implement appropriate workflow adjustments to maintain productivity and service excellence. Monitor DialPad adherence, call activity, and quality metrics to ensure team members meet established communication standards, maintain productivity expectations, and provide exceptional service.
Oversee onboarding workflows:
Ensure EHR access requests are submitted for new facility access. Confirm resident admission sheets are received and uploaded timely and appropriately. Assign onboarding facilities and related tasks to Intake team members. Ensure that all charts entered after initial push are accounted for and completed. Monitor onboarding milestones to ensure all deadlines are achieved. Complies and enforces all company and departmental policies and procedures. Complies with all applicable state and federal regulations for pharmacy practices. Customer Focus

Compliance Officer Qualifications:
High school diploma or GED required. Associate's or Bachelor's degree in Healthcare Administration, Business, or related field preferred. Current national/state pharmacy certification preferred. Minimum 5 years of supervisory or team lead experience in pharmacy intake, admissions, customer service, or operations. Long-term care pharmacy experience preferred. Experience managing staffing, leading process improvement, and supporting quality assurance initiatives. Proficiency in Microsoft Excel, Word, and Outlook required. Skills +
