Job Description

Position Summary The Operations, Logistics & Customer Service Coordinator is responsible for supporting the day-to-day operations of the company while ensuring orders, inventory, shipments, and customer needs are handled accurately and efficiently. This position serves as an important connection between customers, sales, purchasing, warehouse operations, suppliers, and transportation providers. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities in a fast-paced retail lawn & garden environment. This role requires strong communication skills, problem-solving ability, and a willingness to take ownership of tasks from start to finish. Key Responsibilities Customer Service & Order Management Serve as a primary point of contact for customers regarding orders, product availability, pricing, shipping, and general questions. Enter, process, and maintain customer orders accurately and efficiently. Provide customers with order confirmations, updates, shipping information, and delivery expectations. Respond promptly and professionally to customer inquiries by phone and email. Resolve order discrepancies, shortages, damages, and other customer concerns. Work closely with the sales team to ensure customer needs are communicated and fulfilled. Maintain strong, professional relationships with customers and provide a high level of service. Operations & Inventory Coordinate daily operational activities to ensure orders move efficiently from purchase through delivery. Monitor inventory levels and communicate potential shortages or excess inventory. Assist with inventory planning, product availability, and seasonal demand. Coordinate product transfers, repacking, labeling, and other operational requirements as needed. Maintain accurate records of inventory, orders, shipments, and product information. Assist with preparing product and pricing information for customers and sales representatives. Help identify opportunities to improve efficiency, reduce errors, and streamline company processes. Logistics & Shipping Coordinate outbound shipments with customers, carriers, warehouses, and internal personnel. Schedule LTL, truckload, parcel, and other freight shipments. Prepare and verify bills of lading, packing lists, shipping documents, and related paperwork. Obtain freight quotes and coordinate transportation based on customer requirements and cost considerations. Track shipments and communicate delays or changes to customers and the sales team. Verify shipment quantities, pallet counts, weights, and delivery information. Work with carriers and customers to resolve freight issues, delivery discrepancies, and claims. Coordinate seasonal shipping schedules and help ensure products are delivered on time. Supplier & Vendor Coordination Communicate with suppliers regarding product availability, lead times, pricing, production schedules, and shipping requirements. Track purchase orders and expected delivery dates. Follow up with suppliers regarding delayed or incomplete orders. Maintain accurate supplier and product information. Assist with purchasing and replenishment activities as needed. Administrative Support Maintain organized digital and physical records. Assist with invoicing, purchase orders, credits, returns, and customer account information. Prepare reports related to sales, inventory, shipments, and operations. Assist management with special projects and process-improvement initiatives. Support seasonal product launches, new displays, and other retail programs. Qualifications 2+ years of experience in customer service, operations, logistics, purchasing, distribution, or a related field preferred. Experience in lawn & garden, agriculture, seed, farm & ranch, retail, or distribution is a plus. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Ability to prioritize multiple tasks and meet deadlines. Comfortable working with customers, vendors, carriers, and internal teams. Strong problem-solving and follow-through skills. Proficiency with Microsoft Office, particularly Outlook and Excel. Experience with ERP, inventory management, or order-entry systems is preferred. Ideal Candidate The ideal candidate is someone who takes ownership, follows through, and gets things done . They should be comfortable jumping between customer calls, entering orders, coordinating freight, checking inventory, communicating with suppliers, and solving unexpected problems throughout the day. Experience in a small or growing company is valuable, as this position requires someone who is willing to wear multiple hats and contribute wherever needed . Success in This Position Success in this role means: Customers receive timely and accurate information. Orders are entered and fulfilled correctly. Shipments are coordinated efficiently and arrive when expected. Inventory and operational information remains accurate. Issues are identified and addressed before they become larger problems. Sales, warehouse, purchasing, and management have the information they need. Customers and vendors receive responsive, professional service.
