We combine therapeutic bodywork with innovative wellness and recovery services to create a personalized experience for every client. Our services include therapeutic massage, myofascial trigger point therapy, reflexology, Ortho-Bionomy, Oasis Wellness, Red Light Therapy, SlimWave body contouring, and customized wellness programs. We are looking for a warm, polished, energetic professional who genuinely enjoys helping people and is excited about wellness. The Opportunity The Wellness Concierge & Client Experience Coordinator is the face and voice of Body By Design. This position goes far beyond traditional front-desk responsibilities. You will create a welcoming, elevated experience for every person who walks through our doors while helping clients discover the services and wellness solutions that best fit their individual needs. The ideal candidate is equally comfortable providing exceptional hospitality, having meaningful conversations with clients, making recommendations, generating sales, managing daily operations, and supporting our growing wellness community. What We're Looking For We are looking for someone who: Is naturally warm, friendly, confident, and personable Has a genuine interest in health, wellness, beauty, and self-care Enjoys connecting with people and building relationships Is comfortable with sales and motivated by achieving goals Can confidently educate clients about our services and memberships Has excellent communication and organizational skills Is highly dependable and takes ownership of responsibilities Can multitask while maintaining exceptional attention to detail Presents themselves in a polished and professional manner Enjoys working in a fast-paced, team-oriented environment Is comfortable learning new technology, software, and wellness concepts Understands that exceptional client experiences are the foundation of a successful wellness business Key Responsibilities Client Experience & Luxury Hospitality Welcome every client warmly and create a personalized, memorable experience Serve as the primary point of contact for clients throughout their Body By Design journey Conduct engaging spa tours and introduce prospective clients to our services and environment Anticipate client needs and proactively create solutions Maintain a beautiful, organized, clean, and welcoming front-of-house environment Create an atmosphere that reflects the elevated Body By Design brand Build genuine relationships with clients and make them feel known and valued Sales & Wellness Education Educate clients about Body By Design services, memberships, packages, and wellness programs Ask thoughtful questions to understand client goals and recommend appropriate services Convert spa tours, inquiries, and prospective clients into appointments Promote memberships, packages, retail products, and complementary services Identify opportunities to introduce existing clients to additional services that may benefit them Meet or exceed established booking, membership, retail, and revenue goals Follow up with prospective clients and leads to encourage conversion Participate in promotional events, community events, and membership campaigns Client Retention & Relationship Management Encourage clients to rebook and maintain consistent wellness routines Follow up with new clients after their first visit Reach out to inactive clients and help reconnect them with the spa Support membership retention and renewal efforts Maintain accurate client notes and profiles Help create personalized client experiences based on preferences, goals, and previous visits Respond promptly and professionally to client questions, concerns, and feedback Front Desk & Daily Operations Manage incoming phone calls, texts, emails, and social media inquiries Schedule, reschedule, and confirm appointments Process payments and maintain accurate POS/client records Manage client intake, forms, waivers, and check-in/check-out procedures Monitor the daily schedule and help maintain smooth studio flow Communicate effectively with practitioners and management Assist with opening and closing procedures Monitor supplies and communicate operational needs to management Maintain high standards for cleanliness, organization, safety, and presentation Marketing & Community Engagement Support social media initiatives and help capture engaging content within the spa Assist with promotions, special events, wellness festivals, and community outreach Help promote Body By Design programs, services, memberships, and events Encourage client referrals and word-of-mouth marketing Support lead generation and follow-up campaigns Represent Body By Design professionally within the local community Service & Wellness Knowledge You will receive training to confidently educate clients about Body By Design's services, including: Therapeutic Massage Myofascial Trigger Point Therapy Reflexology Ortho-Bionomy Oasis Wellness Red Light Therapy SlimWave Body Contouring Spa Rituals Membership Programs Additional wellness offerings as they are introduced You do not need to be a wellness practitioner. However, you must be enthusiastic about learning and able to communicate wellness information clearly and professionally.

Qualifications Required:

High school diploma or equivalent Previous customer service experience Strong communication and interpersonal skills Ability to work independently and as part of a team Strong organizational and multitasking abilities Comfort using computers, scheduling software, POS systems, email, and social media Reliable transportation and dependable attendance

Preferred:

Sales or membership sales experience Spa, wellness, hospitality, beauty, fitness, or healthcare experience Experience with client relationship management systems Social media or marketing experience Experience working in a luxury or customer-experience-focused environment Schedule This is an evening and weekend position with the opportunity for additional hours as needed.

Primary schedule:

Evening shifts Alternating Saturdays Additional weekend availability as needed Schedule may evolve based on business needs and performance.
