Reports To:
Owner and Executive Director Growing home healthcare agency providing dependable and compassionate support to seniors, individuals with disabilities, clients recovering from surgery, and families needing assistance in the home. We are seeking a dependable and organized Operations & Client Relations Coordinator to provide part-time support with client follow-up, administrative organization, referral outreach, and basic marketing activities. This position is ideal for someone who has previous home care, healthcare, or administrative experience and enjoys helping a growing business stay organized and connected with the community. Position Summary The Operations & Client Relations Coordinator will work closely with the Executive Director to support a few key areas of the agency. The primary focus of the position will be: Keeping important tasks and follow-ups organized Assisting with new client inquiries Maintaining communication with prospective clients Conducting basic referral outreach Supporting simple marketing activities The selected candidate will receive direction regarding weekly priorities and will not be expected to manage every area of the agency independently. Primary Responsibilities /Administrative and Operations Support Maintain a simple weekly task and follow-up tracker. Help organize outstanding client, caregiver, and administrative items. Follow up on missing documents or incomplete tasks as directed. Assist with maintaining organized electronic records. Prepare a brief weekly update for the Executive Director. Notify leadership when an issue requires additional attention. Client Relations Respond to or follow up with new client inquiries. Collect basic information regarding the client's needs, schedule, and location. Schedule consultations or assessments. Send approved information and documents to prospective clients. Follow up with families who are considering services. Keep client inquiry information current and organized. Referral Outreach Help identify local organizations that may refer clients to agency. Conduct approved outreach by telephone or email. Maintain a list of referral contacts and completed follow-ups. Help build relationships with senior communities, healthcare professionals, social workers, churches, and community organizations. Share agency information and materials with potential referral partners. Marketing Assistance Help maintain the agency's Google Business Profile and social media pages. Assist with scheduling approved posts and community announcements. Help share flyers and service information online. Track where new client inquiries come from. Support affordable marketing and community-awareness activities. Qualifications Previous experience in home care, healthcare, office administration, client services, or business development is preferred. Strong organizational and follow-up skills. Professional written and verbal communication. Ability to work independently while following established priorities. Comfortable using email, spreadsheets, online documents, and basic office technology. Ability to protect confidential client and company information. Reliable internet and telephone access. A positive, dependable, and solution-focused attitude. Preferred Experience Experience in one or more of the following areas is helpful but not required: Home care or senior-care services Client intake or customer service Administrative coordination Community outreach Lead follow-up Social media or basic marketing Healthcare scheduling or electronic record systems Weekly Priorities Weekly assignments may include: Following up with prospective clients Updating the client inquiry tracker Contacting a small number of referral partners Checking for missing documents Assisting with one or two marketing posts Providing a weekly progress update Responsibilities will be introduced gradually based on the candidate's experience and the agency's immediate needs.
Compensation Starting pay:
$25-$28 per hour , based on experience Approximately 10-12 hours per week Additional commission opportunities for new private-pay clients who successfully begin services Commission Opportunity Clients 1-5 in a calendar month: $150 per client Clients 6-10 in a calendar month: $200 per client Clients 11 or more in a calendar month: $250 per client $500 performance bonus for 10 or more new client starts in one month Commission is paid after the client has completed onboarding, officially started services, and submitted the first payment. Initial Evaluation Period The position will begin with a 30-day introductory period . During this time, the coordinator and Executive Director will determine which responsibilities are the best fit. Additional hours and responsibilities may become available as the agency grows and based on the coordinator's interests, experience, and performance. Ideal Candidate The ideal candidate is someone who is organized, communicates well, follows through, and is comfortable helping a growing agency improve one step at a time. This position is intended to provide meaningful support to leadership—not to require one person to independently manage the entire agency.
Pay:
$25.00 - $28.00 per hour
