Position Summary Reporting to the Service Manager, the Internal Service Writer is responsible for coordinating and managing repair orders for dealership-owned inventory, including new units, used units, rental equipment, warranty repairs, and internal service work. This position serves as the primary liaison between the Service, Parts, and Sales departments to ensure work is scheduled efficiently, documentation is accurate, and units are completed on time. Working closely with technicians and department leaders, the Internal Service Writer helps maintain shop productivity, supports inventory readiness, and ensures dealership units move efficiently through the service process. Key Responsibilities 1. Repair Order & Workflow Coordination Create, manage, and maintain repair orders for new inventory, used inventory, rental fleet, warranty work, and internal service requests. Schedule and prioritize work based on dealership needs, technician availability, and delivery commitments. Monitor repair order progress and adjust priorities as required. Ensure repair orders contain accurate labor operations, technician notes, and required documentation. 2. Interdepartmental Coordination Serve as the primary point of contact between the Service, Sales, Parts, and Management teams regarding internal service work. Coordinate unit readiness to support customer deliveries and dealership inventory objectives. Communicate repair status, delays, parts availability, and estimated completion dates to internal departments. Assist in resolving scheduling conflicts and workflow bottlenecks. 3. Inventory Readiness Coordinate Pre-Delivery Inspections (PDI), accessory installations, warranty repairs, and reconditioning of inventory. Track dealership-owned units throughout the repair process to ensure timely completion. Help maintain an organized workflow for incoming and outgoing inventory. Support efficient inventory turnover by ensuring units are service-ready as scheduled. 4. Administrative Accuracy Review repair orders for completeness and accuracy prior to closing. Maintain accurate documentation within the dealership management system (DMS). Ensure labor, parts, and warranty information is properly recorded. Assist with internal reporting and service documentation as required. 5. Warranty & Parts Coordination Coordinate with the Parts Department to ensure required components are ordered and available. Assist with warranty documentation and manufacturer requirements. Monitor units awaiting parts and communicate updates to affected departments. Ensure warranty repairs are documented according to manufacturer guidelines. 6. Process Improvement & Department Support Follow established dealership service processes and identify opportunities to improve efficiency. Support Service Manager initiatives to improve shop productivity and workflow. Maintain organized service files and documentation. Provide additional administrative support to the Service Department as required. Qualifications Previous experience in a service department, dealership, automotive, powersports, or related industry preferred. Experience coordinating work orders, scheduling, or administrative operations is considered an asset. Strong organizational and time management skills. Excellent verbal and written communication skills. Ability to manage multiple priorities in a fast-paced environment. Intermediate computer skills and experience working within dealership management software or similar systems. High school diploma or equivalent required. Valid driver's license with an acceptable driving record.
