Job Description
Position Overview The Service Call Center Operator plays a key role in delivering an exceptional customer experience by coordinating service appointments, with a strong emphasis on Mobile Service and Pickup & Delivery scheduling. This position ensures efficient communication between customers, service advisors, and dispatch personnel while maintaining a professional, friendly, and solution-oriented approach on every call. Key Responsibilities Answer inbound calls promptly and professionally. Schedule and confirm appointments for traditional in-store service, mobile service , and pickup & delivery appointments using the dealership's CRM and DMS systems. Determine customer needs and recommend the most convenient service option (mobile, pickup/delivery, or in-shop) based on location, repair type, and schedule availability. Coordinate with dispatchers and drivers to optimize route efficiency for mobile and pickup/delivery vehicles. Verify customer and vehicle information , warranty status, and recall eligibility when applicable. Send appointment confirmations and reminders via phone, text, or email, ensuring accurate communication of arrival windows or pickup times. Document all customer interactions accurately within the CRM system to ensure complete visibility for service staff. Follow up with no-shows and declined appointments to encourage rescheduling and maintain retention goals. Assist in customer satisfaction follow-up calls after service completion when needed. Promote dealership services and specials to maximize service volume and revenue. Qualifications Previous automotive dealership and/or call center or customer service background preferred. Excellent phone etiquette and strong verbal communication skills. Proficiency with CRM, DMS, and appointment-scheduling tools (experience with DealerTrack, Xtime, or VIN Solutions preferred). Strong multitasking and organizational abilities in a fast-paced environment. Detail-oriented, dependable, and able to work independently or as part of a team. Knowledge of automotive service processes and terminology a plus. Work Schedule & Compensation Full-time, Monday-Friday (no weekends).
