In this vital role, you will be the friendly face and helpful voice that ensures our customers receive exceptional support and service. Your positive attitude, organizational skills, and ability to handle multiple tasks efficiently will help foster strong customer relationships and contribute to a smooth office environment. This paid position offers an exciting opportunity to develop your administrative and customer support skills while making a meaningful impact every day. Duties Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and in-person interactions, providing accurate information and solutions. Manage front desk operations, including greeting visitors, handling incoming calls, and directing them appropriately. Utilize computer skills to perform data entry, maintain customer records, and update files using Microsoft Office, Google Workspace, and QuickBooks. Assist with office management tasks such as filing, proofreading documents, calendar management, and organizing appointments. Support administrative functions including bookkeeping, filing, proofreading, and managing office supplies to ensure a well-organized workspace. Provide exceptional customer support by addressing concerns with excellent phone etiquette and professionalism. Perform clerical duties such as typing reports, managing data entry tasks, and supporting team members with administrative needs. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and QuickBooks preferred. Prior experience in customer service or reception roles such as dental or medical receptionist is highly desirable. Strong communication skills with bilingual abilities being a plus to serve diverse customer bases. Ability to handle multi-line phone systems efficiently while maintaining professionalism and courtesy. Demonstrated clerical experience including filing, proofreading, data entry, and calendar management. Exceptional time management skills with the ability to prioritize tasks effectively in a fast-paced environment. Knowledge of office equipment such as multi-line phones, fax machines, and basic bookkeeping tools is advantageous.
