Summary of Essential Functions:
The Client Services & Office Coordinator serves as the first point of contact for customers and visitors while ensuring smooth daily office operations. This role prioritizes delivering exceptional customer service, handling client communications, and resolving inquiries, while also managing administrative and office support functions to maintain an efficient and professional workplace. While this role reports to the Operations Manager, it works cross-functionally to support accuracy, consistency, and compliance across the organization.
Essential Job Functions:
Serve as the primary point of contact for customers via phone, email, and in person Deliver a high level of customer service by addressing inquiries, requests, and concerns promptly and professionally Resolve customer issues and escalate complex matters as needed Schedule appointments, manage calendars, and coordinate customer communications Maintain accurate customer records and follow up to ensure satisfaction Represent the company in a positive, courteous, and professional manner at all times Manage office supplies, equipment, and vendor relationships Handle administrative tasks including filing, data entry, and correspondence Support employee onboarding and office procedures Assist with special projects, cross-functional initiatives, and other tasks as assigned by the supervisor or management to support the overall operations of the company
Qualifications:
Associate's or Bachelor's degree in Business Administration or related field Proven experience in customer service, office administration, or a related role Minimum 1-2 years of experience in customer service or office administrative roles Ability to multitask while maintaining a customer-first mindset Proficiency with Microsoft Office, Google Workspace, and customer management systems Strong problem-solving skills and attention to detail Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Ability to multitask and prioritize tasks in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Problem-solving skills and a proactive attitude. Ability to work both independently and as part of a team. Spanish speaking a huge plus.

Strong organizational skills and attention to detail in documentation Excellent verbal and written communication skills for cross-functional collaboration Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic document management systems Problem-solving skills and a proactive attitude toward improvement initiatives Ability to multitask and prioritize tasks effectively in a fast-paced healthcare environment Ability to work both independently with minimal supervision and collaboratively as part of a team Strong capacity to manage multiple tasks and deadlines simultaneously while maintaining accuracy Flexibility and willingness to adapt to changing priorities, assist teammates, and contribute to a collaborative, team-oriented work environment
Physical Demands:
