This is a full-time position with a unique blend of client services coordination and administrative support . Approximately half of the role supports our Outpatient Program, where you will help clients navigate referrals, intake, scheduling, and ongoing communication. The remainder of the position provides administrative and operational support to our Headquarters team. This position is a strong fit for someone who enjoys helping people, keeping multiple priorities organized, and being the person others can rely on to make sure important details do not fall through the cracks. The ideal candidate is comfortable taking initiative, following tasks through to completion, and adapting as priorities change. What You'll Do Client Services & Outpatient Program Support Serve as a welcoming and professional first point of contact for clients, referral sources, community partners, and staff. Answer program calls and emails and assist clients with scheduling, rescheduling, and general service questions. Coordinate client referrals and intake processes, including communication with prospective clients and referral partners. Maintain organized scheduling and support timely movement of clients through the intake and service process. Provide administrative support for behavioral health billing, clinician onboarding, insurance credentialing, training requirements, and other program processes. Support the Outpatient Program Supervisor and clinical team with day-to-day administrative and coordination needs. Assist with program outreach, referral relationships, social media, marketing, and community events. Administrative & Operational Support Provide administrative and coordination support to agency leadership and Headquarters departments based on organizational priorities. Maintain organized records, trackers, shared resources, and administrative systems. Assist with routine projects, administrative processes, and cross-departmental coordination. Track assigned tasks and follow up on outstanding items to support timely completion. Communicate workload concerns, competing priorities, and barriers so work can be appropriately prioritized. Identify opportunities to improve administrative workflows, organization, and efficiency. Handle confidential client, employee, financial, and organizational information appropriately.
What We're Looking For Required:
High school diploma or equivalent. Prior administrative, office coordination, client services, or similar professional experience. Strong organizational and time-management skills with the ability to manage multiple priorities. Strong written and verbal communication skills. Professional and client-centered customer service skills. Comfortable using technology and learning new software and systems. Reliable, self-motivated, and able to work independently while knowing when to ask questions or escalate concerns. Ability to work on-site in Roseville, California.
Preferred:
Experience in behavioral health, mental health, healthcare, medical office administration, or another regulated environment. Experience with client or patient scheduling, referrals, intake coordination, or healthcare administration. Experience with electronic health record (EHR) systems. Experience supporting billing, credentialing, clinician onboarding, or other healthcare administrative processes. Experience with Microsoft Office or similar business productivity applications.
