Our work centers on new home construction and residential repair and maintenance, with propane installation and distribution as a second core line of the business. We're a 2025 Carrier President's Award winner and Carrier Factory Authorized Dealer, a Trane Comfort Specialist, a Mitsubishi Electric Diamond Contractor, and Generac certified. The Role The Coordinator is the connection point between our sales team, our installation managers, and our customers.
You own the handoff:
from the moment a sales call is booked, through the sold job, to the day the crew shows up at the customer's door. This is a detail-driven, phone-and-computer role for someone who likes keeping a lot of moving pieces straight and hates letting anything fall through the cracks. If a job hits the schedule missing a permit, a deposit, or an equipment confirmation, it's the coordinator's job to have caught it first. What You'll Do Schedule sales calls and manage the sales team's calendar, matching the right rep to the right opportunity Coordinate sold jobs with the installation managers — confirm scope, equipment availability, and lead times before a date is committed Schedule installation crews and technicians, and communicate dates, arrival windows, and any changes to the customer Collect customer deposits and confirm payment before the job is placed on the schedule Verify that every job packet is complete before it reaches the installation manager: signed agreement, scope of work, equipment list, permits, site access details, and any special customer instructions Serve as the customer's point of contact from sale through installation day — answer questions, set expectations, and follow up Work closely with the HVAC Director and Installation Managers to keep the schedule realistic and the customer experience smooth Maintain accurate job records, notes, and scheduling data in our systems Flag scheduling conflicts, missing information, and at-risk jobs early What We're Looking For 2+ years in scheduling, dispatch, customer service, or office coordination — home services, construction, or a trades environment strongly preferred Strong organizational skills and genuine attention to detail; comfortable holding people accountable for the information you need Clear, professional phone and written communication with customers, technicians, and managers Comfortable with scheduling and CRM software (ServiceTitan experience a plus) and with Microsoft Office / Google Workspace Able to stay calm and prioritize when the schedule shifts, which it will Experience handling customer payments and deposits a plus HVAC or construction industry familiarity a plus, but we'll train the right person on the technical side What We Offer Competitive pay based on experience [
