Must always keep the working area neat and presentable and conduct himself / herself in a professional manner always providing excellent customer service and taking into consideration that they will be the first impression the public receives of the Agency they represent. Will coordinate with his / her supervisor as needed and perform additional tasks as requested. Major Duties and Responsibilities 1. Provide customer service to all individuals seeking information, whether inquiries are by phone or in person, and greet and assist the public and all tenants in the lobby. 2. Serve as back up receptionist in their absence and assist during lunchtime as needed. Must always screen all calls for supervisory personnel. 3. Responsible for dealing effectively with the public using tact, diplomacy and good judgment as necessary. 4. Assist applicants on how to obtain their position on the waiting list and/or any additional information in reference to the waiting list. 5. Provide assistance on all other work-related duties as deemed necessary by her immediate supervisor. 6. Assist applicants/participants wishing to file a complaint or appeal a decision by having them complete a customer request form. Form will be date/time stamped and a copy provided to client. 7. Receive Bids and make sure it is by the specified deadline. Stamp envelope and have bidder place their initials on the envelope. Log in bidder's information into the Bids Submittal Record Sheet. Once the process is complete, have someone from the Finance Department or Capital Fund Department, collect the Bids. 8. Confer with client employers, organizations, and other agencies, etx. To confirm client information. Brief voucher holders on housing availability, housing options, lease obligations, equal housing rights, and Section 8 requirements. 9. Investigate complaints of program abuse, document and take appropriate action per HUD's rules and HHA's HCVP Admin Plan. 10. Perform data entry functions, enter tenant information and update files in the system. 11. Provide assistance to tenants in the search for rental units and connecting utilities if needed. 12. Provide information on Hot Lunch, homeless shelters and homeless programs. 13. Provide assistance to applicants applying for housing. 14. Provide information to applicants or walk on when other authorities or agencies are accepting applications. 15. Provide support to Reception area as directed by the Director of Section 8. 16. Provide support to Section 8 and Occupancy staff, as directed by the Section 8 Supervisor. 17. Review files for accuracy of information on file, completeness, and report to supervisor on findings identified, corrects mistakes if necessary and appropriate. Documents corrective actions. 18. Maintain confidentiality on clientele, staff and agency matters. 19. Provide assistance during W/L openings to persons with disabilities. 20. Follow customer service procedures to ensure property owners and owners agents, applicants and participants receive adequate and professional customer service assistance. 21. Other job-related duties as assigned.
