In this vital role, you will serve as the first point of contact for clients and visitors, ensuring exceptional customer service and smooth office operations. Your energetic approach and organizational skills will help foster positive relationships, streamline administrative processes, and support our commitment to client satisfaction. This position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant team environment. Duties Greet clients, visitors, and vendors professionally at the front desk, providing excellent customer service with a friendly demeanor Manage multi-line phone systems efficiently, directing calls accurately and courteously (Ring Central App) Handle data entry tasks with precision using Google applications and Job Nimbus. (CRM) Maintain organized filing systems, ensuring confidential information is securely stored and easily accessible when needed Assist with office management duties such as opening all mail (Fed Ex, USPS) record in CRM (Job Nimbus) and notify correct party. May need to call Public Adjuster to notify of notification. Support administrative tasks including proofreading documents, preparing correspondence, making bank deposits, running to the bank, post office and managing office & mailing supplies Send email to carrier to collect Recoverable Depreciation and Ordinance & Law payments. Qualifications Proven clerical experience with strong organizational skills and attention to detail Proficiency in Google Suite and familiarity with CRM systems. Excellent phone etiquette with experience handling multi-line phone systems and client communication Bilingual abilities are highly preferred to serve a diverse clientele effectively Strong computer literacy, including data entry, proofreading, and general office management skills Demonstrated ability to handle confidential information responsibly and maintain professionalism at all times Prior office experience or personal assistant experience is advantageous but not required; a proactive attitude is essential Join us as a Client Services Assistant and be part of a dedicated team that values energetic engagement, clear communication, and organizational excellence.
