JOB SUMMARY
The Customer Service & Operations Specialist (Inventory / ERP-WMS) serves as the primary administrative and systems liaison between warehouse operations and the internal customer. This position is accountable for daily order release and printing, monitoring order flow, executing and validating SAP and EWM transactions, researching inventory discrepancies, and resolving order and shipment claims from initial notification through documented closure. The role works closely with the Site Manager, Receiving, Picking, Shipping, Inventory/Control Tower, carrier partners, and customer stakeholders to ensure physical warehouse activity is accurately reflected in the system. Success requires strong computer aptitude, attention to detail, operational urgency, professional customer communication, and ownership of issues until the loop is fully closed.CUSTOMER SERVICE & ORDER FLOW RESPONSIBILITIES
- Print, release, organize, and distribute daily customer orders, including priority and emergency work, based on operational requirements.
- Monitor orders from release through picking, packing, shipment, and system closure; communicate delays, shortages, and other exceptions promptly.
- Serve as a primary day-to-day contact for the internal customer regarding order status, inventory availability, shipment discrepancies, and operational questions.
- Coordinate with warehouse leads to clear order blocks, missing information, inventory holds, and other issues that could prevent timely execution.
- Maintain accurate order, exception, and follow-up records so open items have clear ownership, status, and next actions.
- Support order documentation, label printing, shipment paperwork, and other administrative activities required for daily warehouse execution
ERP / WMS & TRANSACTION CONTROL RESPONSIBILITIES
- Perform and validate SAP and EWM transactions supporting receiving, inventory movement, picking, packing, staging, shipping, goods issue, stock transfers, returns/reversals, and approved inventory adjustments.
- Review transaction queues and system exceptions; identify failed, incomplete, duplicated, or mismatched transactions and research the cause.
- Ensure transaction timing and sequence accurately reflect physical warehouse activity and that SAP/EWM records remain aligned with operational reality.
- Investigate discrepancies involving material, quantity, bin location, handling unit, order, delivery, or shipment status and coordinate appropriate correction.
- Escalate system defects, access issues, or technical failures to the appropriate support teams with clear screenshots, transaction details, and supporting evidence.
- Maintain transaction discipline and supporting documentation in accordance with internal controls, customer requirements, and audit expectations.
INVENTORY CONTROL & ALIGNMENT RESPONSIBILITIES
- Research and resolve inventory discrepancies between physical stock, SAP, and EWM.
- Coordinate and/or perform cycle counts, recounts, bin verification, BOLO/missing-inventory research, and location validation as needed.
- Investigate inbound receiving deviations and outbound shipment discrepancies, including incorrect quantities, wrong material, missing material, mispicks, and stock stored in incorrect locations.
- Support authorized inventory corrections and ensure the reason, evidence, and approval are properly documented.
- Identify recurring inventory or transaction-control issues and communicate trends, root causes, and improvement opportunities to site leadership.
- Partner with warehouse teams to improve inventory accuracy, location discipline, and timely completion of system transactions.
OPERATIONS SUPPORT & REPORTING RESPONSIBILITIES
- Prepare and distribute operational reports as assigned, including open orders, emergency orders, transaction exceptions, inventory discrepancies, and customer claims.
- Support audits, inventory projects, cycle-count initiatives, process reviews, and continuous improvement activities.
- Participate in daily operational meetings and customer-facing discussions as required, bringing clear system status and supporting data.
- Perform other related duties and special projects as required to meet the needs of the operation.
EDUCATION
- High School diploma or equivalent required.
- Associate degree or college coursework in Business, Supply Chain, Logistics, Information Systems, or a related field preferred.
EXPERIENCE
- 2+ years of experience in customer service, warehouse administration, logistics, inventory control, order management, or operations support preferred.
- Experience working in a warehouse, distribution, spare-parts, manufacturing, or similar operational environment strongly preferred.
- Prior experience with an ERP and/or WMS strongly preferred; SAP and EWM experience is highly preferred. Equivalent experience with complex transaction-based business systems will be considered.
- Experience researching inventory, order, shipment, or customer-claim discrepancies preferred.

- Strong working knowledge of Microsoft Office, particularly Excel, Outlook, and Teams; ability to organize, filter, and interpret operational data.
- Demonstrated ability to understand transaction flow, identify system-to-physical mismatches, and troubleshoot operational exceptions.
- Strong attention to detail and data accuracy when working with order, inventory, material, bin, shipment, and transaction records.
- Analytical problem-solving skills and the ability to gather evidence, identify root cause, and determine appropriate next actions.
- Strong interpersonal, verbal, and written communication skills for working with an internal customer and cross-functional warehouse teams.
- Ability to prioritize effectively in a fast-paced environment with frequent interruptions, changing priorities, emergency orders, and firm deadlines.
- Working knowledge of inventory-control principles, cycle counting, warehouse process flow, and discrepancy investigation.
- Ability to read, analyze, and interpret business records, system information, customer correspondence, and shipment documentation and respond effectively to inquiries or complaints.
