We are seeking an organized, energetic, and versatile professional to join our team in a multi-faceted role combining service writing, parts running, and shop administration. In this position, you will act as a central hub for our daily operations: sourcing and transporting needed components, keeping inventory organized, and maintaining orderly front-office billing and documentation. The ideal candidate thrives in a fast-paced environment, possesses strong communication skills, holds a clean driving record, and is comfortable wearing multiple hats to keep technicians productive and customers informed.
KEY RESPONSIBILITIES
Service Writing & Customer Communication Communicate technician findings, repair estimates, and timelines clearly to clients via phone, text, or email. Obtain customer authorization for additional work before repairs commence. Provide updates throughout the repair process and walk customers through finalized invoices at vehicle pickup. Parts Sourcing & Running Pick up parts, supplies, and tools from local vendors, dealerships, and supply houses using the company vehicle. Verify incoming shipments against purchase orders to ensure correct quantities, part numbers, and quality. Deliver cores, returns, and warranty parts back to suppliers promptly with correct documentation. Maintain the shop parts room by labeling, stocking, and updating parts inventory in the shop management system. Assist with cleaning and maintaining fleet vehicles. Administrative & Front-Office Support Close out work orders, process customer payments (cash, card, check, fleet accounts), and balance daily registers. Maintain vendor invoices and submit them to accounting or the office manager for accounts payable processing. Assist with answering incoming calls, scheduling appointments, and routing messages. Keep the reception area, customer waiting area, and front office organized, clean, and stocked.
QUALIFICATIONS & SKILLS
Experience:
1+ years of experience in an automotive, powersports, heavy equipment, or collision repair facility preferred.
Licensing:
Valid driver's license with a clean driving record (insurable under company auto policy). Experience with Ford trucks and cars Familiar with heavy equipment, especially
CAT, JLG, Bobcat and Doosan Technical Aptitude:
Familiarity with basic automotive/equipment terminology and repair workflows; comfort with shop management software, including Samsara, is a plus.
Organization:
High attention to detail, ability to prioritize tasks independently, and solid basic math skills.
Physical Requirements:
Ability to lift up to 50 lbs regularly and stand/drive for extended periods.
