This role works closely with advisors and the operations team to coordinate service requests, new-business paperwork, meeting preparation, and timely follow-up. The successful candidate will be organized, personable, proactive, and comfortable managing competing priorities in a professional environment. They will take ownership of follow-through, communicate clearly, protect confidential client information, and help create a consistent, welcoming experience. Approximately 50%
  • Prepare new business and client-service forms, obtain required signatures, submit paperwork, and track each item through completion.
  • Maintain regular client contact, including scheduled proactive service calls.
  • Serve as a point of contact for routine service requests and coordinate with clients, advisors, and Home Office partners to resolve open items.
  • Prepare client files, paperwork, and meeting materials in advance of appointments.
  • Identify service or technology issues affecting clients and communicate the information needed for timely resolution.
  • Help provide consistent, professional, and welcoming client experience throughout each relationship. Approximately 50%
  • Welcome clients and guests and maintain a professional, client-ready office environment.
  • Answer incoming calls, direct inquiries, and respond to routine client needs.
  • Maintain accurate, timely CRM notes for client conversations, service requests, follow-up items, and completed tasks.
  • Handle incoming and outgoing mail and client funds in accordance with firm procedures and compliance requirements.
  • Coordinate projects, tasks, and deadlines for advisors and team leaders, escalating operational or service issues when appropriate.
  • Provide general administrative and operational support to help the office run efficiently. Required Qualifications
  • Strong written and verbal communication skills, including a professional and courteous phone presence
  • Demonstrated attention to detail, organization, time management, and follow-through
  • Ability to manage multiple priorities and adapt to changing needs
  • Sound judgment when handling confidential client information
  • Working proficiency with Microsoft Word, Excel, Outlook, and general office technology
  • Positive attitude and willingness to learn new systems and processes Preferred Qualifications
  • Experience in financial services, banking, insurance, or another professional-services environment
  • Experience with CRM, workflow-management, document-management, or electronic-signature systems
  • Experience processing forms or working in a regulated environment
