Client Services Assistant & Office Coordinator CPA & Financial Planning Firm We are seeking a reliable, organized, and detail-oriented Client Services Assistant & Office Coordinator to join our growing CPA and Financial Planning firm. This position is ideal for someone who enjoys working directly with clients, staying organized, managing multiple priorities, and contributing to a professional office environment. While prior accounting or financial services experience is not required, successful candidates will bring strong administrative skills and a commitment to providing exceptional client service. We are looking for a professional who takes pride in accuracy, follows through on commitments, and understands the importance of handling confidential information with care and discretion. Responsibilities
  • Provide exceptional customer service while interacting with clients in person, by phone, and through email
  • Answer and direct incoming phone calls in a professional and courteous manner
  • Schedule client appointments and assist with calendar management
  • Assist with onboarding new clients and maintaining accurate client records
  • Manage client documents and information through electronic filing systems and secure client portals
  • Follow up with clients regarding requested documents and information as directed
  • Prepare client correspondence, mailings, spreadsheets, and other administrative documents
  • Maintain client tracking systems, databases, and office records
  • Coordinate day-to-day office operations and help ensure an organized, efficient work environment
  • Support the CPA and Financial Planning teams with administrative and operational needs
  • Handle all client information with discretion and strict confidentiality Qualifications
  • 2-5 years of administrative, client service, office, or professional services experience preferred
  • Experience working in a professional office environment is a plus
  • Strong organizational and time-management skills
  • Excellent attention to detail and accuracy
  • Professional and friendly communication skills, both written and verbal
  • Proficiency with Microsoft Outlook, Word, and Excel
  • Comfortable learning new software systems and technology platforms
  • Ability to prioritize multiple tasks and meet deadlines
  • Strong follow-through and ability to consistently complete tasks without extensive supervision
  • Dependable, punctual, and eager to learn
