Cold-Link Logistics is a rapidly growing Warehousing and Logistics Company built on Family Values. Based out of South Florida, we are committed to building a great team to serve our customers' needs with innovative cold storage warehousing and distribution solutions. Customer Service Representatives support warehouse operations by managing invoices, product releases, bills of lading, standard quotations, inventory tracking, and data entry. They serve as the main point of contact for customers via phone, email, and in person—resolving issues, processing requests, and ensuring satisfaction. CSRs work closely with the Warehouse Operations Team, customers, and truck drivers, requiring strong communication skills and proficiency in the Warehouse Management System.
Essential Duties Include:
Be a team player with a positive, empathetic, and professional attitude. Collaborate with Customer Service and Shipping & Receiving Teams to meet daily service demands. Support a team-oriented work environment and culture by working cooperatively and maintaining professionalism, even in high-pressure or stressful situations. Serve as the day-to-day contact for assigned customer accounts ensuring all customer requirements are met and followed by warehouse operations through developing a deep understanding of assigned accounts. Communicate clearly and professionally with customers; respond promptly to inquiries and handle requests and concerns in a timely, accurate manner. Monitor daily and extended customer service needs; provide updates, account reviews, and maintain strong customer partnerships. Support the Customer Service Manager with reporting customer warehouse activities data by maintaining accurate records of communication, order activity, inventory levels, customer preferences, etc. Collaborate with Quality team to handle claim documentation and support root-cause analysis when errors occur. Confirm accurate data entry and document processing completed by other CSRs as needed. Strong organizational and multitasking skills with high attention to detail and the ability to maintain confidentiality. Perform general office tasks including filing, copying, emailing, managing mail/packages, and clerical load building. Utilize WMS and other software to support customer service and inventory management; assist in creating and maintaining Standard Operating Procedures. Basic accounting and inventory knowledge to support daily operations and customer account accuracy. Contribute to continuous improvement efforts to attain the highest levels of customer satisfaction and operational efficiency. Ensure compliance with GMP, food safety, and housekeeping guidelines, maintaining an orderly and clean office and work environment. Perform other duties as assigned by the Leadership Team.
Qualifications:
High school diploma, GED, or equivalent required. Must be at least 18 years old and legally authorized to work in the United States without the need for current or future employer sponsorship. 3+ years' experience in clerical logistics and customer service. Strong written and verbal communication skills. Excellent attention to detail with strong organizational and multitasking abilities. Proficient in Microsoft Office (Word, Excel); familiarity with Warehouse Management Systems (WMS) such as Korber/Infios and scheduling tool Opendock is a plus. Self-motivated and eager to learn, with a proactive approach to new tasks and projects. Ability to communicate and collaborate effectively with colleagues across departments.
Physical Requirements:
Ability to sit or stand at a workstation for extended periods of time. Manual dexterity to operate standard office equipment such as computers, phones, copiers, and fax machines. Ability to lift and carry 20 pounds and work in extreme temperatures and noise levels.
