Job Overview We are seeking a dedicated and professional Customer Service Representative to join our dynamic team. In this role, you will serve as the primary point of contact for clients, providing exceptional support and ensuring their needs are met efficiently and courteously. The ideal candidate will possess strong communication skills, technical proficiency, and a commitment to delivering outstanding customer experiences. Duties Respond promptly to customer inquiries via multi-line phone systems, email, and live chat, maintaining a friendly and professional demeanor. Manage responsibilities, including greeting visitors, handling incoming calls, and directing clients appropriately. Utilize office management software to process transactions, update records, and generate reports. Perform data entry tasks with accuracy, including maintaining spreadsheets, filing documents, and updating client information. Assist with calendar management and scheduling appointments using tools to ensure efficient time allocation. Provide administrative support through document proofreading, word processing, and maintaining organized filing systems. Support client communication efforts by preparing correspondence, follow-up emails, and ensuring timely responses. Maintain office supplies inventory and handle clerical tasks such as photocopying, faxing, and filing. Collaborate with team members to improve office workflows and enhance overall productivity. Skills Proficiency in Microsoft Office applications including Word, Excel (spreadsheets), and Outlook. Strong computer literacy with excellent typing speed and accuracy; familiarity with Google Workspace is preferred. Experience with multi-line phone systems, phone etiquette, and professional client communication. Demonstrated organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment. Excellent data entry skills along with attention to detail for proofreading and document accuracy. Previous office management or administrative experience is advantageous. Strong interpersonal skills with a focus on customer support and client satisfaction. Ability to handle confidential information discreetly while maintaining professionalism at all times. Time management skills that enable prioritization of tasks to meet deadlines consistently.
