Key Responsibilities Generate and issue customer invoices accurately and on schedule, based on sales orders, shipments, or contracts Monitor accounts receivable aging and follow up on past-due balances via phone, email, or written correspondence Apply customer payments (checks, ACH, credit card, wire) to appropriate invoices/accounts in the system Research and resolve billing discrepancies, short payments, and disputed charges in coordination with sales/customer service Reconcile customer accounts and maintain accurate, up-to-date balances Process credit memos Responsible for filing and maintaining organization in record room Communicate professionally with customers regarding account status, invoices, and payment arrangements Data Entry & Inventory Tracking Enter and maintain barrel tracking records, including barrel ID, fill date, location, contents, and status changes throughout the production cycle Log and maintain lot numbers for raw materials, work-in-process, and finished goods to support traceability and quality control Receptionist / Customer Service Greet visitors, vendors, and guests warmly and professionally; manage sign-in procedures and visitor badges as required Answer, screen, and route incoming phone calls to the appropriate department or individual Schedule and coordinate meetings, conference room bookings, and appointments as requested Respond to general customer questions regarding orders, invoices, account status, and company policies, or route to the appropriate team member Assist in resolving customer concerns and complaints in a timely, professional manner, escalating complex issues as needed Maintain accurate records of customer interactions and follow up to ensure issues are resolved Support other departments with general administrative tasks Collaborate with sales, AR, and operations teams to ensure a consistent, positive customer experience Qualifications High school diploma required; Willing to train the right candidate. Prior experience in accounts receivable, data entry, reception, or customer service preferred Strong attention to detail and organizational skills Proficient in Google platforms (Sheets, Docs, Gmail) and Quickbooks. Excellent verbal and written communication skills Ability to multitask and manage competing priorities in a fast-paced environment Friendly, professional demeanor with strong customer service orientation
Schedule:
MONDAY-FRIDAY 8AM
to 4:30 PMPTO, Sick Days, Holiday Pay, 401K 4% Match, Health Insurance and Employee Discount.
