Job Description
We are looking for a Customer Service Representative to support daily order management and customer communication for a Contract position based in Caldwell, New Jersey. In this role, you will coordinate order processing, respond to customer inquiries, and help ensure billing, shipping, and inventory records remain accurate and up to date. The ideal candidate brings strong attention to detail, a service-focused mindset, and the ability to manage multiple priorities in a fast-moving environment.
Responsibilities:
- Manage incoming customer orders by reviewing details, confirming product availability, and entering information accurately into internal systems.
- Communicate with customers regarding order progress, shipment timing, freight costs, and other service-related updates in a timely manner.
- Work closely with warehouse and operations teams to support accurate fulfillment, inventory alignment, and smooth order flow.
- Prepare shipping documentation, including bills of lading, and provide freight estimates for outbound deliveries.
- Handle claims related to damaged shipments and follow through on resolution steps and documentation.
- Create and maintain sales transactions such as orders, invoices, and credit memos while preserving accurate records.
- Organize customer, inventory, and transaction files using both electronic filing methods and cloud-based document storage.
- Respond professionally to inbound calls, purchase orders, and customer messages while providing current inventory information as needed.
- At least 1 year of experience in customer service, order entry, logistics support, billing, or a similar function.
- Ability to manage multiple tasks effectively and stay organized in a fast-paced setting.
- Strong accuracy and attention to detail when handling orders, billing records, and documentation.
- Working knowledge of invoicing, credits, and general administrative recordkeeping.
- Proficiency with Microsoft Office applications and comfort using business or accounting software.
- Effective problem-solving skills and a clear, detail-oriented communication style.
- Ability to collaborate productively with internal teams, including warehouse and operations staff.
