CUSTOMER SERVICE
[ Summary ] Coordinator, Customer Service supports, customer communication, shipment coordination, documentation, accounts receivable follow-up, and spot business activities. As a point of contact for assigned customers, the position provides timely updates, helps customers meet shipment requirements, and coordinates with internal teams to support reliable service. This position is designed for a new hire who may not have prior ocean shipping experience. Training will be provided on shipping terminology, internal systems, documentation, and operating procedures. The employee is expected to learn progressively, follow established processes, ask questions when uncertain, and take increasing ownership of assigned accounts and tasks. [ Essential Duties ] 1. Customer Service & Account Support Communicate with customers regarding vessel schedules, cargo status, and potential schedule changes. Respond to customer inquiries by email and phone in a timely, accurate, and professional manner. Support assigned accounts, including contractual customers and spot customers, as directed by the supervisor. Provide booking, routing, sailing schedule, ETA, ETD, ATA, and ATD information using approved sources. Maintain positive customer relationships and escalate issues that require management attention. 2. Shipment Coordination & Documentation Remind customers of cargo and documentation cut-off dates. Assist customers in gathering customs clearance information and Shipping Instructions (S/I). Support cargo release, manifest updates, corrections, pre-load confirmations, and related documentation activities. Maintain complete and accurate shipment files in approved company systems and folders. Follow established processes and verify information before communicating externally. 3. Accounts Receivable & Billing Support Monitor invoices, incoming payments, and outstanding balances for assigned customers. Follow up with customers on overdue payments and document collection activities. Respond to routine billing questions and coordinate internally when research or correction is required. Confirm freight payment status before release when required by procedure. 4. Spot Business & Sales Support Assist with spot shipment quotation requests and provide necessary shipment details to the appropriate internal team. Coordinate internally regarding vessel space, schedule options, cargo requirements, and customer requests. Follow up on open quotations and customer decisions as directed. Support Sales with rate requests, booking inquiries, and cargo status questions. 5. Administrative, Reporting & Team Support Maintain organized electronic records, booking recaps, and customer correspondence. Prepare activity, shipment, payment, and ad hoc reports as requested. Participate in training, coaching, and process review sessions. Assist colleagues during peak workload periods and perform other duties as assigned. [ Working Hours / Working style ] 9:00 - 5:00 [ Working Location ] Edison, NJ​​​​​​​ [ Salary / Benefit ​​​​​​​] $24-25/hr ​​​​​​​[ Holidays ​​​​​​​] Saturdays, Sundays, and Major National Holidays ​​​​​​​[ Qualifications ​​​​​​​] High school diploma required; bachelor's degree preferred but not required. Prior customer service, administrative, logistics, or transportation experience preferred. Ocean shipping experience is helpful but not required. Working knowledge of Microsoft Outlook, Excel, Word, and Teams. Ability to communicate clearly in written and spoken English. 【Initial Training & Development】 The new employee will receive structured guidance in the following areas: Basic ocean shipping terminology, trade lanes, vessel schedules, and shipment milestones. Customer account profiles, communication standards, and escalation contacts. Booking, Shipping Instructions, customs clearance, cargo release, billing, and payment workflows. Internal systems, shared files, reporting tools, and record-retention expectations. Use of checklists and supervisor review until the employee demonstrates consistent accuracy. ​​​​​​​【Performance Expectations】 Provide timely and professional customer responses. Maintain accurate records and meet cut-off and follow-up deadlines. Follow established procedures and obtain guidance before deviating from process. Communicate potential service, documentation, or payment issues early. Demonstrate steady progress toward independent management of assigned duties.
