Job Description
The Customer Service Representative provides professional, courteous, and timely support to customers, visitors, and management. This position receives and documents customer concerns, routes matters to the appropriate supervisor or department, and helps maintain a positive, respectful, and organized work environment. The ideal candidate demonstrates a willingness to learn new tasks, accept training and feedback, and adapt to changing business needs while following company procedures and performance expectations.
Responsibilities:
- Greet customers, employees, and visitors in a professional, respectful, and courteous manner.
- Answer incoming phone calls in a professional, courteous, and timely manner; provide accurate information, take clear messages,screen and route calls to the appropriate department or supervisor, and follow up as needed.
- Respond to emails in a professional, timely, and detailed manner; review messages for accuracy, provide helpful information, document or forward requests when appropriate, and ensure follow-up items are communicated to the correct department or supervisor.
- Receive, document, and route customer concerns, complaints, or reports according to company procedures.
- Maintain confidentiality when handling employee, customer, or company-related information.
- Assist with customer service and front office administrative tasks as assigned.
- Provide general information and assistance to employees, customers, and visitors in accordance with company procedures.
- Maintain accurate records of customer inquiries, complaints, and follow-up actions.
- Coordinate with management and other team members to ensure timely follow-up on customer service matters.
- Support front office administrative duties, including filing, data entry, scheduling assistance, and document organization.
- Promote a positive customer experience and uphold company standards for professionalism, communication, and accountability.

- Strong customer service skills with the ability to remain calm, professional, and respectful in sensitive situations.
- Documents information clearly, accurately, and thoroughly.
- Maintains confidentiality and handles sensitive information with discretion.
- Communicates effectively, both verbally and in writing.
- Prioritizes tasks, follows procedures, and completes assigned work in a timely manner.
- Working knowledge of basic office technology, email platforms, and recordkeeping systems.
Requirements:
- High school diploma or GED equivalent required.
- Prior experience in customer service, reception, or administrative support is preferred.
- Working knowledge of Microsoft Word, Excel, Outlook, internet-based systems, and general office equipment.
- Must be able to communicate professionally and follow company procedures when handling complaints, inquiries, and confidential information.
- Must be available to work any day or shift, including weekends and holidays, as the business operates 24 hours a day, 365 days a year.
- Must be available to work overtime as needed.
Work Environment & Physical Demands:
- Employees may be required to sit, stand, walk, use hands and fingers to handle or operate office equipment, speak, hear, and perform other routine office duties.
- Specific vision abilities required for this position may include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- The noise level in the work environment is usually moderate.
