The Client Services Coordinator is responsible for coordinating and supporting the day-to-day needs of clients receiving home health care services. This position serves as an important connection between clients, caregivers, families, and the office team to help ensure services are scheduled appropriately, concerns are addressed promptly, and clients receive dependable, high-quality care. Responsibilities Monitor and respond to incoming calls and emails. Update the "Clients on Hold" chart daily. Update the "New Clients" chart whenever a new client is awarded. Run the expiring authorization report of the second Monday of each month and update the "Expiring Authorizations" Chart. Communicate with case managers regarding authorizations, client concerns, and 30-day notices. Complete client intro calls, enter new clients into WellSky, and notify the team via email. Review and accept new client referrals. Access payer portals daily for authorization updates including: Assist with scheduling clients, nurses, and caregivers as needed. Assist with time sheet collection and billing processes as needed. Assist with client and caregiver audits Handle any client complaints/complete reports and documentation for outcomes. Issue and mail out 30-day notices to clients. Communicate with clients to keep up customer service relationships Mandatory CareSource Training Qualifications Strong communication and interpersonal skills Organization and time-management skills Able to multitask and prioritize in a fast-paced environment Able to maintain confidentiality and handle sensitive client information appropriately Able to work independently and in a team environment Proficient with computers, email, Microsoft Office, and scheduling/documentation systems 1-2 years of experience in home health care, healthcare, caregiving, scheduling, customer service, or an administrative role preferred
