Full-Time | Hourly About the Position Reliance In Vitro is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support our growing operations. This position plays an important role in maintaining effective communication between our laboratory, clients, and internal teams. The successful candidate will be responsible for coordinating daily client updates, maintaining accurate production records, and supporting administrative processes in a dynamic, fast-paced environment. We are looking for someone who takes ownership of their responsibilities, values accuracy, and enjoys being part of a collaborative team. Key Responsibilities Prepare and distribute daily client updates and embryo production reports, ensuring accuracy and timely delivery. Manage a high volume of client communications, responding professionally and efficiently to inquiries. Work closely with the laboratory team to gather, verify, and communicate production information. Maintain accurate client records, production data, and internal documentation. Organize and update spreadsheets, databases, and reporting systems. Monitor pending client requests and follow up to ensure timely resolution. Assist with administrative coordination and day-to-day operational activities. Identify discrepancies or missing information and proactively communicate with the appropriate team members. Support continuous improvement of administrative processes and communication workflows.

Qualifications Required:

Excellent organizational skills and strong attention to detail. Strong written and verbal communication skills. Proficiency in Microsoft Excel and Microsoft Office applications. Ability to prioritize multiple responsibilities and meet deadlines. Comfortable working in a fast-paced environment with a high volume of information. Ability to work independently while maintaining effective communication with the team. Professionalism, reliability, and a strong sense of accountability.

Preferred:

Previous experience in administrative support, customer service, or office operations. Experience maintaining databases, spreadsheets, and client records. Bilingual communication skills (English and Spanish or Portuguese). Experience working in a laboratory, veterinary, agricultural, or related environment is a plus, but not required.
