JOB DESCRIPTION
SERVICE ADVISOR Primary Function :
Communicate with customers to encourage proper maintenance of vehicles through recommended services and repairs. Be responsible for the full cycle of the administrative repair process from initial contact to providing and reviewing charges on invoices, health reports, or any other documentation that pertains to the repair. Cross-train in our Parts Department, to serve as a back-up Parts Specialist when needed.
Duties and Responsibilities:
Greet scheduled and walk-in customers at the service counter in a timely and professional manner. Respond to incoming service/repair calls in a timely manner. Set and track appointments as required. Retrieve recommended services report and customer history reports as needed. Contact customers for recommended services. Advise customers of pricing, shop availability, anticipated part delays and any additional information needed by the customer. Contact business customers for service authorization, purchase orders, etc. Enter information and create repair orders for services or repairs as requested by customer. Follows up with customer consistently on repair status to ensure customer needs are met. Prepare estimates and invoices and any other necessary documents. Address customer concerns as they relate to services and billing in a timely manner. Follow-up when necessary. Recognize and verify for possible warranty coverage for services when applicable. Communicate with manufacturers as needed to achieve approval of services and proper handling for collection of payment. Monitor and maintain Dealer Management Software system for accurate input and output of information as needed for necessary reports and documents. Finalize completed repair orders after payment verification whether cash, warranty or internal. Prepares quotes and maintains files for all quotes that are processed for future reference. Maintain and update customer name and address database as changes occur. Participates in special projects or assignments as requested.
Qualifications :
At least two years related experience and/or training working in an automotive dealership or independent repair facility. Working knowledge in all aspects of diesel engine, electrical and hydraulic systems repair and maintenance. Strong coordination, time management, active listening, critical thinking, and reasoning skills. Computer knowledge, basic mathematical, language and computer skills.
