We are looking for a detailed-oriented, proactive, and customer-focused Customer Service Representative to join our team and serve as the vital link between our sales team, operational staff, and clients. Job Summary The Customer Service Representative coordinates post-sale administrative functions for single-day and overnight charters, supports our charter sales team, and is the point person for our school athletic accounts. In this role, you will ensure seamless trip execution from booking to completion, deliver an exceptional customer experience, and collaborate closely with operations and dispatch. Duties and Responsibilities The Customer Service and Sales Specialist will be responsible for delivering exceptional service to clients across a range of transportation offerings, including motorcoach and school bus charters This role involves direct customer engagement in person, by phone, and through electronic communication. Key Responsibilities 1.
Charter Account Management & Sales Support Trip Review & Confirmation:
Review and confirm all trip details (itineraries, pickup/drop-off locations, group sizes, and special accommodations) in a timely and accurate manner.
Payment Processing:
Proactively manage customer payment schedules, send payment reminders, and process deposit and final payments.
Itinerary & Revisions:
Collect final, detailed trip itineraries from customers and efficiently manage trip updates or schedule revisions.
Sales Partnership:
Serve as the primary operational support partner for the sales team, handling post-quote customer touchpoints so sales representatives can focus on new business growth. 2.
Review upcoming trips prior to handoff to dispatch and drivers, verifying venue requirements and specific itinerary details to set drivers up for success.
Proactive Communication:
Communicate schedule changes, special customer requests, and potential operational issues promptly with dispatch.
Feedback & Issue Resolution:
Receive post-trip customer feedback, assist in resolving service issues promptly, and support client retention efforts to drive repeat business. 3.
School Athletic Accounts Management Data & Trip Entry:
Serve as the dedicated primary contact for school athletic partners. Accurately enter all athletic trip details into the booking system, verifying dates, times, vehicle types, and locations.
Weekly Schedule Reporting:
Compile and send updated weekly schedule reports to athletic directors and school contacts for confirmation and verification.
Relationship Building:
Maintain strong ongoing relationships with school athletic departments, serving as their main point of contact for all inquiries and adjustments.
Qualifications & Key Competencies Experience:
2+ years of experience in customer service, administrative support, account management, or logistics coordination (experience in transportation or dispatch support is a plus).
Detail-Oriented:
Exceptional organizational skills and high accuracy in data entry and itinerary verification.
Strong Communication:
Excellent written and verbal communication skills for building relationships with clients, school athletic departments, drivers, and internal teams.
Problem Solving:
Ability to handle schedule changes, resolve service issues gracefully, and maintain composure in a fast-paced environment.
Tech-Savvy:
Proficient with booking/reservation systems (training provided) and Microsoft Office / Google Workspace applications.
