Job Description

Position Summary As a Customer Service Representative, you will serve as the primary liaison between our customers, sales team, warehouse personnel, and internal departments. You will utilize NetSuite ERP to manage the complete order-to-cash process, ensure accurate order fulfillment, coordinate regulatory documentation, and provide outstanding support to our customers. This role is ideal for someone who thrives in a collaborative environment, enjoys solving problems, and has experience working with ERP-driven order management processes. Key Responsibilities Order Management & NetSuite ERP Operations Process customer orders accurately and efficiently through NetSuite ERP from order entry through invoicing and payment. Manage the complete order-to-cash lifecycle for raw material and bulk ingredient shipments. Review inventory availability and allocation using NetSuite's Inventory Management tools. Coordinate closely with warehouse personnel regarding order status, shipping schedules, and fulfillment requirements. Enter pricing agreements, customer contracts, and order details into NetSuite. Generate invoices, process returns and credits, and resolve billing discrepancies in a timely manner. Maintain accurate customer and order records within the ERP system. Customer Support & Account Management Respond promptly to customer inquiries via phone, email, and customer portals. Provide updates regarding order status, lead times, shipment tracking, inventory availability, and product information. Build and maintain positive relationships with distributors, manufacturers, flavor houses, and other B2B customers. Resolve customer concerns professionally while ensuring a high level of customer satisfaction. Documentation & Compliance Support Coordinate with Quality Assurance and Regulatory teams to provide required customer documentation, including: Certificates of Analysis (CoA) Safety Data Sheets (SDS) IFRA Certificates Allergen Statements Other product compliance documentation Ensure customer records and supporting documents are accurately maintained and attached within NetSuite where applicable. Cross-Functional Collaboration Work closely with Sales, Purchasing, Logistics, Regulatory, and Warehouse teams to ensure timely order fulfillment. Assist in managing backorders and proactively communicate delays or product availability concerns. Support continuous improvement initiatives to enhance operational efficiency and customer experience. Required QualificationsExperience Minimum 2 years of customer service, customer operations, account management, or order processing experience . Experience within chemical distribution, food ingredients, flavors & fragrances, cosmetic ingredients, manufacturing, or wholesale distribution industries preferred. NetSuite ERP Expertise (Required) Hands-on experience using NetSuite ERP is required.
Proficiency with:
Sales Order Processing Inventory Management Customer/CRM Management Invoicing and Billing Functions Order Fulfillment Workflows Industry Knowledge Preferred but not required: Understanding of flavor and fragrance ingredients. Familiarity with lot traceability requirements. Experience handling regulatory documentation such as CoAs and SDSs. Knowledge of HAZMAT shipping requirements and compliance procedures. Skills Excellent verbal and written communication skills. Strong customer-first mindset with professional problem-solving abilities. Exceptional organizational skills and attention to detail. Ability to manage multiple priorities and high-volume order processing with accuracy. Proficiency in Microsoft Office (Excel, Outlook, Word) and related business applications.
