Full Job Description Client Care Specialist Position Overview:
We are seeking an organized, highly motivated, and compassionate individual to join our team as a Client Care Specialist Assistant (CCS) at our psychotherapy clinic. As a Client Care Specialist, you will be the "first face" or voice that a client interacts with on their therapy journey, and also a friendly and reliable contact these individuals for the duration of their care. You are responsible for organizing and administrating many aspects of the client's 'onboarding' and scheduling process as well as serving as an important liaison with clinicians and students at the office. This position also requires the ability to accurately prepare, review, and analyze detailed written and electronic information, including at times insurance claims and processing. We are a Christian-owned and based counseling practice, and are seeking teammates who have a willingness to discuss biblical or faith related matters to those who are interested.
Key Roles and Functions:
You will have the opportunity to lead our team in the following areas of rapport building with each individual (client) who contacts us! Greet /respond to all communications that arrive at our office - be they via email, phone, or in-person. Learn and utilize our Electronic Health Record (EHR) system to (a) register new clients, (b) schedule new and recurring appointments, (c) document insurance, (d) send messages and documents/consents, and (e) upload documents to portal. Communicate in a timely manner, maximizing integrity to follow-through on commitments to return calls and follow-up on correspondences. Prepare and disseminate physical materials for client intake and therapy scheduling - such as folders, etc. You will also have the opportunity to be a light in the community through partnering with referral sources - following up on correspondences as well as those related to authorizations of release and other partnerships that support each client's well-being. Given the importance of protecting client's confidentiality, it is essential that our CCS upholds the highest standards of integrity and responsibility related to HIPAA rules and protections.
Schedule:
6-10 hours: To include Wednesdays and Fridays - sometime between the hours of 12:45pm -5:15pm To include one hour on Mondays to return weekend calls/emails or pressing client admin situations Optional additional hours in office or WFH shifts (available or "on call" to answercalls when they come in)

Compensation:
$16.00-$19.00 per hour (depending on past experience/length of time in roles providing administration, scheduling, and billing in health care setting). Additional compensation and hours may be available for those with experience with insurance credentialing and claim submission.
