Position Overview The Client Support Specialist supports the Integrated Services Team by acting as a link between the company and its clients, answering questions, resolving issues, and ensuring customer satisfaction via phone, email, and chat. This role will regularly engage with past and current clients of the Elumina Health comprehensive service lines to monitor outcomes and service line satisfaction as reported by clients, caregivers and/or family members. Additionally this role will provide support to SVP of Integrated Services and Care Ambassadors as needed/requested. Essential General Responsibilities & Expectations Maintain a positive attitude and communicate professionally with staff, clients/patients, caregivers, family members and other professionals. Work as a team player to coordinate care along our spectrum of departments and services to ensure that each patient receives the right care at the right time Ensure compliance with company guidelines, professional standards and regulatory requirements Maintain regular contact with assigned patients/clients, caregivers and families through calls, messages, or visits as directed Prepare, organize, and maintain accurate, timely, and through documentation of client interviews/engagement as instructed. . Participate in interdisciplinary team meetings, case conferences, in services and education as assigned or delegated . Adhere to patient confidentiality & patient rights, (e.g., HIPAA, state and organizational guidelines). Key Responsibilities & Duties Patient Satisfaction, Quality Improvement and other duties Administer patient satisfaction surveys (by phone) following established protocols and sampling methods. Accurately record and enter survey responses in the designated database or system. Identify and promptly escalate significant concerns, complaints, or risk issues raised during surveys to designated staff. Support basic data collection and reporting related to patient satisfaction and service quality as requested. Handle inbound questions regarding products, services, billing, and accounts. Identify and communicate customer complaints or technical problems to appropriate staff to facilitate resolution. Conduct proactive outreach and follow up with clients to ensure complete issue resolution. Complete other duties as assigned in support of
Integrated Services Program Qualifications Experience:
1-3 years of experience in a customer service, client support, or help desk role (SaaS or tech experience is a plus).
Communication:
Exceptional written and verbal communication skills with a strong ability to practice active listening with the ability to engage respectfully and effectively with diverse patients and families.
Technical Savvy:
Proficiency with use of chrome book, Google Sheets, Google Drive and Google Docs.
Problem-Solving:
Ability to multitask, prioritize, and manage time effectively under pressure. Ability to handle multiple tasks, calls, and follow-ups simultaneously. Comfort with telephone- and technology-based outreach (e.g., EMR, case management systems, survey platforms). Ability to maintain confidentiality, handle sensitive information, and exercise sound judgment in escalating concerns. Valid driver's license and reliable transportation may be required based on program needs. Ability to pass required background checks and health clearances. Working Conditions Primarily office or remote based, with frequent phone and in-person contact with patients/clients and staff. Occasional travel within the community for outreach, home visits, or meetings may be required. May occasionally require flexible scheduling, including some evenings or weekends, based on patient and program needs.
