Job Description

Key Responsibilities Promote and support Coim USA's core value, "customer satisfaction," with a high degree of customer service. Manage the order fulfillment process from receipt of purchase order through to order entry, order acknowledgment, order shipping & tracking, and invoice generation. Support and partner with Commercial and other functional areas to sell strategic offerings, keeping the sales team abreast of critical account issues. Promote customer satisfaction by promptly answering inquiries and proactively following up on shipment and inventory requirements. Accurately process invoices and reconcile payment discrepancies with the customer and Accounts Receivable. Process product returns, credits, and debits as needed. Monitor daily shipment reports to ensure that sales orders are shipping timely and from the correct ship point. Collaborate with Production Planning to understand production schedules and ensure inventory availability and timely completion of re-pack materials. Work closely with the scheduler to understand material lead times and ship from points. Work in partnership with Shipping & Receiving to ensure customer shipments are shipped timely. Collect BOL documentation to confirm shipment quantities against the sales order in Navision before generating invoices. Collaborate with management on potential shipment delays, stock out issues that thwart on-time delivery, and other customer concerns. Resolve customer issues as lead investigator for assigned order fulfillment complaints, including an initial review of documentation discrepancies or shipping issues. Engage additional resources as needed to help resolve customer complaints. Maintain customer Master Data in Navision to ensure that customer information is up-to-date and accurate surrounding ship-to and bill-to address information, price cards, shipping, and invoice instructions. Manage import customer shipments to ensure that order requirements are met. Work with Purchasing in generating product requisitions to move material from Italy to the US. Manage consignment inventory with the customer and commercial contact. Ensure inventory balance to zero at the end of the customer's fiscal period.
Experience & Skills:
Minimum of 5 years of customer service administration or business experience Ability to think critically and analyze efficiently Effective Communicator Highly organized, responsible, and detailed oriented. Experience with
Microsoft Office:
Word, Excel, and Outlook. Experience with Navision and/or similar ERP systems Education Requirements College degree in Business, Supply Chain, or a closely related discipline from an accredited college/university. Customer service experience in a manufacturing environment. Customer service experience in a chemical manufacturing environment. The Customer Service Representative will be responsible for establishing and maintaining profitable relationships with customers on behalf of the company by ensuring that all customer needs and requirements are met. This role serves as the customer's primary internal representative to Coim USA, as well as the customer advocate within the organization. This person will help communicate all customer requirements to the Production and Shipping & Receiving teams. This role works on a rotating hybrid schedule, with 2 days in the office, the other 3 from home. •This position is not eligible for employer-sponsored work authorization; applicants must have unrestricted authorization to work in the U.S. for any company
